SUMMARY
The Senior Lease Analyst is responsible for abstracting key information from lease agreements, entering and maintaining the integrity of lease data within the lease management database as well as collecting and paying monthly rental payments on behalf of landlords and tenants. At this position level, the Senior Lease Analyst provides guidance to less experienced team members. This role will work in collaboration with all key BGIS departments to ensure full support of all activities and play a key role in our INTEGRATED approach to operating buildings.

KEY DUTIES & RESPONSIBILITIES
Safety Ownership and Regulatory Compliance
- Comply with all internal and external requirements including but not limited to environmental, health and safety, fire protection and mandated by BGIS Health Safety and Environment Teams and enforced by law.
Lease Abstraction
- Reviews lease agreements and abstracts key information including but not limited to lease provisions, clauses, options and critical dates, property information, business, legal and financial agreements and obligations, terms and conditions
- Enters and maintains lease agreement information within lease management database. Responsible for data integrity of lease information
Rent Payment Processing
- Processes monthly rent payments and ad hoc payments on behalf of the client
- Prepares monthly rent roll reports, makes adjustments to rent information and pays retroactive payments to reflect changes in factors including but not limited to operating costs, base rent
- Prepares and provides reports to clients
Additional Rent Review
- Conducts annual review of operating costs budget increases (i.e. grounds maintenance cost, realty taxes = “additional rent”) proposed by the landlord. Compares forecast against historical information to review reasonableness of budget increase. Verifies reasons for proposed budget increases and requests for supporting documentations from the landlord where required
- Conducts review of recent actual operating costs and provides recommendations for annual operating costs budget increases to landlords for tenant billings
- Ensures annual budget increases is in compliance with terms of lease agreement
People Leadership
- Provides guidance to Lease Analyst
Reporting
- Create and Analyze reports
- Other duties as assigned
KNOWLEDGE & SKILLS
- College / University degree in Business Admin, Commerce, or equivalent training (e.g. RPA, CET)
- 3 to 5 years related experience Lease Administration, Real Estate Accounting, or Property Management with exposure to commercial leases
- Experience with using a lease administration database preferred
- Ability to interpret complex commercial lease language
- Advanced financial/analytical skills
- Excellent oral and written communication skills
- Excellent organizational skills
- Superior attention to detail
- Ability to work independently and within a team to build relationships and interact effectively with business partners
- Ability to multi-task, work successfully under pressure and effectively manage time and workload
- Proficiency in Microsoft Office (Word, Excel, and Outlook)
Licenses and/or Professional Accreditation
- Real Property Administrator designation would be considered an asset
