Position Summary The Payroll Specialist is responsible for end-to-end payroll processing for Canadian and U.S employees, ensuring accuracy, compliance, and timely delivery. This role involves managing payroll operations, tax filings, audits, and system optimizations while collaborating with HR, Finance, and external vendors. The ideal candidate demonstrates strong technical expertise, attention to detail, and the ability to thrive in a fast-paced, process-driven environment
Work Location: This is a 100% on-site position
Key Responsibilities
- Prepare and process bi-weekly payroll for salaried and hourly employees.
- Execute payroll runs following global payroll checklists and calendars.
- Including, when and where applicable, prevailing wage processing and certified payroll reporting.
- Audit payroll data against HR systems to ensure accuracy and compliance.
- Ensure adherence to federal, state/provincial, and local payroll regulations.
- Assures compliance with regulatory agencies, rules and regulations as they relate to payroll processing (i.e., prevailing wages, certified payrolls, garnishments, withholdings, payroll tax requirements, etc.)
- Prepare and file payroll tax returns (T4s, W-2s, 941s, 940, etc.) and respond to tax authority notices.
- Process accurate and timely year-end reporting when necessary (W-2, W-2c, 1095, AAP, EEO, T4, T2200 and OSHA, and Veterans Reporting etc.)
- Coordinates with and assists outside auditors for any annual payroll audits, Workers Compensation vendor, corporate auditors, 401K audit, Wage/Hour audits.
- Maintain employee Paid Time Off records according to company policies.
- Complete year-end balancing, reporting, and amendments.
- Maintain accurate payroll records and documentation.
- Prepare payroll journal entries and reconcile payroll-related GL accounts.
- Administer and optimize payroll systems; participate in new pay components and enhancements.
- Generate payroll reports and analytics for management and audits.
- Manages and administers benefit related payroll deductions and changes.
- Responsible for reconciling monthly benefit invoices and preparing the journal entry for the Finance Department.
- Respond to employee and manager inquiries.
- Collaborate with HR, Finance, and outsourced vendors to improve payroll processes.
Deliverables
- Timely and accurate payroll processing for assigned regions.
- Compliance with all tax and statutory requirements.
- Up-to-date payroll documentation and process checklists.
- Regular reporting and analytics for leadership and audits.
- Continuous improvement initiatives for payroll systems and processes
Qualifications & Experience Education & Certification
- Payroll certification (PCP, FPC, or CPP) preferred or willingness to obtain.
- High school diploma required; Bachelor’s degree preferred.
Experience
- 3–5 years of hands-on payroll experience, including large-scale or multi-country/province/state companies.
- Familiarity with payroll systems (ADP preferred) and HRIS integrations.
Key Skills
- Payroll tax codes and compliance requirements.
- Multi-province/state and multi-company payroll processing.
- Year-end obligations and statutory reporting.
- Internal controls and data security best practices.
