About the role

Job Summary

Now, if you were to come on board as our Office Move Coordinator, we’d ask you to do the following for us:

  • The move coordinator has many job functions, but most important is to assist associates throughout the move process and ensure a smooth, efficient and stress-free moving experience
  • Assisting with all office relocations, including but not limited to moving desks, office equipment, furniture, and other heavy items. This role involves physical labor to transport and set up office furniture and equipment as part of office moves.
  • Organize and manage all aspects of internal office moves, receive and process client move requests, coordinate with scheduled vendors, and create and distribute move packages and needed material to clients to ensure the move processes are in accordance with client policies and procedures
  • Participate in Workplace Services meetings as well as client meetings
  • Have a strong customer service commitment and ability to provide customer satisfaction
  • Complete facility service requests including, but not limited to, digital lock resets, installations and the adjustment of hardware set up, signage and nameplates
  • Ensure client satisfaction through the move management process
  • Coordinate moves and assigned tasks within internal team and where needed property management, facilities management and all parties involved
  • Coordinate with client to execute move management schedule
  • Ensure data accuracy within CAFM systems
  • Update and modify autoCAD drawings

  • Post-secondary education in a related field preferred
  • Experience in project management, project strategy planning and move management
  • Computer literate with proficiency in Microsoft Office suite of products
  • Two years experience using autoCAD (computer-aided design) software is an asset
  • Experience with and use of CAFM (computer-aided facility management) software would be an asset
  • Strong time and task management skills and a commitment to customer service
  • Excellent oral and written communication
  • The ability to quickly master new technical tools and platforms
  • Three years’ demonstrated success providing outstanding customer service
  • Proactive approach to tackling issues and demonstrated creative problem-solving ability with high attention to detail
  • Ability to lift up to 23kg(50lbs.)
