Job Title: Production Coordinator

Job Summary:
The Production Coordinator plays a critical role in ensuring the accuracy of production-related information for client projects. This role is responsible for entering detailed product and delivery requirements—including building Bills of Materials (BOMs), creating master dockets, and coordinating with Pre-Press—so that production can proceed without delays or errors.

A solid understanding of equipment specifications, packaging materials, and Tempo’s production capabilities is essential to accurately interpret and validate project details. The Coordinator collaborates closely with the Production Planning team, Account Managers, and Client Coordinators to confirm that all order information is thorough, feasible, and well-communicated.

Key responsibilities include maintaining transparent project communication in DOTI, performing quality assurance checks on new orders, and ensuring timely updates on order changes throughout the production phase. Success in this role requires exceptional attention to detail, strong cross-functional collaboration, and a proactive approach to problem-solving and process accuracy.

Key Responsibilities:

  • Accurately and completely enter product and delivery requirements to ensure that Production has all the details required to complete a job without issue. This includes building a BOM/Tree, creating the master docket and coordinating with Pre Press to ensure their process is completed correctly and on time.
  • Demonstrate an understanding of equipment specifications, packaging materials and structures, custom features, and general production capabilities to accurately review and understand the project details being presented.
  • The Production Coordinator is encouraged and supported to work closely with the Production Planning team and Account Manager to ensure the order information is correct and within Tempo’s production capabilities.
  • Work with the Client Coordinator to ensure that they are equipped with the information required to follow up with clients in a timely and complete manner. All project communication and a summary of actions taken should be maintained within DOTI for transparency (whether it is via completed tasks or Notes/Comments). Project communication includes diligently updating DOTI task stages/statuses so that the Client Coordinator is better aware of their projects ‘at a glance’ and any other internal stakeholders can check status.
  • Work closely with the Account Manager/Business Development Manager/Technical Sales Specialist/Production Planning to get clarity when required to ensure that project details are correct and captured in full prior to moving into production
  • Perform buddy checks on any new orders with another Technical Production Coordination or the Customer Service Supervisor to confirm the master product definition is correct.
  • During the production phase of any project, it is the responsibility of the Production Coordinator to ensure that new/repeat orders and any order changes are entered into and communicated internally to Production Planning correctly, in full and within the SLA timeline. If there is a risk this will not be done, it is the role of the Production Coordinator to communicate with the Client Coordinator immediately so that we may take a proactive approach with clients.
  • Demonstrate a capacity to learn and leverage tools such as Enterprise Resource Planning programs (Tori), DOTI, Microsoft Office, etc. and the ability to communicate effectively.
  • Promote Tempo’s core values by working within all company policy and procedures and focusing on being a positive and contributing member of the team.
  • Other duties as required.

Our custom, made to order products are supplied directly to manufacturers, food processors and advertisers. All of our processes, from quotation to invoicing, are fully computerized. This allows us to ensure that all product requirements and documents are accurate and well maintained.
