As our Office and Operations Manager, you'll have a front-row seat to the business's growth. You'll work closely with cross-functional leaders, gain visibility across every function of the company, and play an important role in helping our leadership team stay focused on the work that matters most. About the Role

At No Saint, things move quickly. As we continue to grow, we're looking for an Office & Operations Manager who thrives in a fast-paced startup environment and enjoys bringing structure, organization, and calm to rapidly changing priorities.

You'll serve as a trusted partner to our C-suite, helping them stay focused on the highest-impact work while ensuring our Montreal office operates smoothly. No two days will look the same. One moment you may be supporting a leadership meeting, the next you'll be helping onboard a new team member, coordinating with vendors, managing an operational initiative, or jumping into a special project that helps move the business forward.

What You'll Do

Operations & Special Projects Own and continuously improve office operations and administrative processes. Coordinate cross-functional operational initiatives that keep the business running efficiently. Partner with Finance, People Operations, and other teams to ensure day-to-day operational needs are met. Help build scalable systems and processes as the company grows. Manage relationships with third-party logistics (3PL), distribution, and other operational partners to support efficient day-to-day operations. Coordinate inventory operations, including purchase orders, inventory transfers, inventory accuracy, and stock replenishment planning using Odoo. Partner with the Sales and Operations teams to coordinate merchandise, sample orders, point-of-sale materials, and event logistics. Support purchasing, inventory reporting, and cost control initiatives in partnership with the Finance and Accounting teams. Analyze inventory and sales trends to help forecast inventory needs and support operational planning. Support leadership with special projects and new initiatives that span multiple functions.

Office Management Serve as the primary point of contact for the Montreal office. Coordinate office vendors, facilities, supplies, equipment, snacks, coffee, and mail. Help create an organized, welcoming, and productive workplace environment. Coordinate team meetings, celebrations, and company events. Support onboarding logistics for new employees and visitors. Partner with internal teams to ensure day-to-day office operations run smoothly.

Executive & Leadership Support Schedule meetings, prepare agendas, and ensure leaders are set up for success. Track action items and follow up to help keep priorities moving forward. Coordinate communication and follow-up across leadership and cross-functional teams to help ensure priorities continue moving forward. Prepare presentations, documents, and meeting materials. Handle confidential information with discretion and sound judgment. Support board, leadership, investor, and customer meeting logistics as needed. Anticipate administrative needs before they become problems.

What We're Looking For 5+ years of experience supporting leadership, C-suite executives, or senior leadership while owning office operations in a startup or high-growth environment. Demonstrated ability to create structure, improve processes, and keep multiple operational priorities moving simultaneously. Exceptional organizational skills with outstanding attention to detail. Strong written and verbal communication skills. Excellent judgment and the ability to handle confidential information with discretion. Highly proactive with a strong sense of ownership and follow-through. Comfortable managing multiple priorities and adapting as business needs evolve. Resourceful, curious, and confident figuring things out independently. Strong relationship builder who enjoys collaborating across teams. Proficiency with Google Workspace, Slack, Microsoft Office, and modern productivity tools.

Nice to Have Experience with inventory management, purchasing, or vendor coordination. Experience using Odoo or another ERP platform. Experience coordinating domestic and international travel. Experience planning company events or offsites. Experience supporting onboarding or People Operations initiatives. Experience working with project management or collaboration tools.

What Success Looks Like Within your first few months, you'll begin to: Become a trusted partner to our C-suite by proactively managing executive support, day-to-day priorities, and key operational initiatives. Create structure and consistency across executive support, office operations, and key administrative processes that help the business scale. Proactively identify opportunities to improve how the office and leadership team operate, implementing practical solutions that save time and reduce administrative friction. Ensure the Montreal office operates smoothly while supporting the operational infrastructure needed for the business to scale. Build trusted relationships across the organization and become a go-to resource for office operations, administrative coordination, and cross-functional support. Continuously identify opportunities to improve processes, increase efficiency, and remove friction as the company grows.
