Education Outreach Program Coordinator – Professional Job Description
Position Summary
The Education Outreach Program Coordinator supports the Centre Manager in planning, implementing, and evaluating educational and community programs. This role ensures high‑quality program delivery, strong administrative organization, and meaningful engagement with participants, families, and community partners. The Coordinator contributes to program development, operational efficiency, and the overall mission and values of the Centre.
Key Duties and Responsibilities
1. Program Planning & Development
- Develop, plan, and implement educational outreach programs, workshops, and activities aligned with organizational goals.
- Create new program ideas that support community needs and generate revenue for the Centre.
- Prepare educational materials, lesson plans, schedules, and documentation for all programs.
- Provide program orientation and updates to the Management Committee and relevant stakeholders.
- Coordinate the development and revision of program policies, procedures, and safety protocols.
2. Program Delivery & Participant Engagement
- Lead, supervise, and support program activities, ensuring a safe, inclusive, and engaging environment for participants.
- Facilitate activities such as academic workshops, arts and crafts, team‑building exercises, and enrichment sessions.
- Monitor participant behavior, promote respectful interactions, and address conflicts or concerns promptly.
- Support special events, field trips, performances, and community outreach initiatives.
- Foster positive relationships with participants, parents, guardians, and community partners.
3. Administrative & Operational Coordination
- Maintain organized paper and digital filing systems, including attendance, program records, and incident reports.
- Manage program calendars, prepare agendas, take minutes, and develop reports for management.
- Coordinate schedules with the Centre Manager, instructors, volunteers, and administrative staff.
- Maintain and update computerized data systems (e.g., Excel, databases) and track program metrics.
- Assist with fiscal operations, including budget development, expenditure tracking, and financial reporting.
- Ensure activity spaces are set up, maintained, and cleaned, with all materials and equipment in good condition.
4. Communications & Community Relations
- Support public relations and outreach strategies to increase program visibility and community engagement.
- Communicate regularly with parents, guardians, and stakeholders to provide updates and address inquiries.
- Collaborate with other coordinators, institutions, and organizations to share resources and strengthen partnerships.
- Assist with content creation for newsletters, social media, and promotional materials related to educational programs.
5. Monitoring, Evaluation & Continuous Improvement
- Conduct ongoing program evaluation to assess effectiveness and identify areas for improvement.
- Track key performance indicators such as attendance, engagement, and participant feedback.
- Prepare evaluation reports and make recommendations to enhance program quality and impact.
- Stay informed about best practices in education, youth programming, and community outreach.
Qualifications & Competencies
- Strong problem‑solving skills, resourcefulness, and the ability to take initiative.
- Excellent organizational skills with the ability to work independently and manage multiple tasks.
- Professional communication skills, both written and verbal, with the ability to engage diverse audiences.
- Knowledge of educational programming, community outreach, and the Centre’s mission and values.
- Ability to lead program development, mapping, and evaluation processes.
- Proficiency in digital tools, including Microsoft Office, spreadsheets, and database systems.
