Pay Range $21.07 - $24.85/hour (placement on salary range as per Collective Agreement)
This position is responsible for providing client- facing administrative and clerical support within the Nursing Clinic. This includes making, receiving, and redirecting calls throughout the Clinic. All activities are conducted within the policies, procedures, and standards of confidentiality of VHA. The role will be directly reporting to the Manager. Job functions will be prioritized by the Manager in accordance with fluctuating demands and operational needs.
Working hours: 11am – 7pm, Monday through Friday
This is a fully on-site role, and the incumbent is expected to work from the clinic during working hours.
Key Areas Of Accountability
- Cover reception area, greets visitors, provides assistance or advises the appropriate staff
- Answer telephone calls and respond to visitor requests and redirect callers
- Contribute to team and service effectiveness
- Participate in agency-wide committees and project teams as appropriate
- Provide information for reports and planning and scheduling
- Works within and follows the policies and procedures and regulations related to staff safety as required by VHA and under the Occupational Health and Safety Act
- Supports safe client care through the development of knowledge and skills in accordance with our principles of continuous quality improvement
- Provide administrative support
Key Skills, Experience And Behaviors Required For This Position
- Secondary School Diploma combined with two years related work experience or equivalent
- Work experience in customer service of a healthcare organization/agency is an asset
- Experience using database software for reports, data entry, and schedule review
- Proficient in MS Office including Word, Excel, MS Teams
- Knowledge of general office procedures and computer usage; data collection and documentation
- Good word processing skills with the ability to type a minimum of 50wpm; willingness to learn and utilize new software/electronic applications
- Experience with Windows and all standard office equipment
- Strong interpersonal and organizational skills with attention to detail and ability to prioritize
- Strong written and verbal communication skills with an ability to document in a timely and efficient manner with clients, VHA Staff and Service Providers and Coordination
- Demonstrated commitment to client- and family-centered care; enhanced customer service focus
- Demonstrated efforts to continuously develop and upgrade skills
- Strong team player and can work effectively under pressure; ability to deal with multiple priorities is a requirement
- Ability to take initiative and work efficiently as part of a fast-paced clinic team
- Excellent telephone skills—the ability to interact professionally with callers with a client and family-centered approach to provide the client and family with a positive experience with each contact
- Demonstrates knowledge and sensitivity while working with individuals of different races, sexual orientation, gender identities, etc., and an ability to manage issues within a culturally diverse work environment
