Shift: Monday to Friday | 3:00 PM – 11:00 PM

About the Opportunity

Our client a leading provider of temperature-controlled warehousing and logistics solutions, are seeking a Shipping & Receiving Office Coordinator to support daily warehouse operations within a fast-paced distribution environment. This role is responsible for coordinating inbound and outbound shipments, scheduling transportation appointments, maintaining shipping documentation, and acting as the primary point of contact for carriers, drivers, and internal teams.

The successful candidate is highly organized, thrives in a busy environment, and enjoys balancing administrative responsibilities with operational coordination.

Key Responsibilities

Coordinate inbound and outbound transportation appointments to support daily warehouse operations. Schedule carrier arrivals and maintain accurate appointment records within internal systems. Prepare and process shipping documentation, including Bills of Lading, customs paperwork, and CFIA documentation. Welcome and direct drivers upon arrival, assigning dock doors and providing required paperwork. Monitor incoming shipments and inventory movements to support operational requirements. Communicate with carriers, customers, and internal departments via phone and email regarding shipment status and scheduling. Maintain accurate transportation records, databases, and supporting documentation. Track detention requests and maintain reporting spreadsheets. Identify priority shipments to ensure customer service levels are met while minimizing transportation costs. Review shipment schedules to ensure orders are shipping on the correct dates and coordinate changes with internal departments when required. Receive inbound loads within the warehouse management system and work closely with warehouse leadership to resolve discrepancies. Print shipping and pickup documentation and ensure orders are prepared for dispatch. Complete pre-receiving activities and assist with shift handovers to ensure operational continuity. Support inventory transfers between warehouse locations. Maintain organized filing systems and complete general administrative duties. Assist with additional operational projects and administrative tasks as assigned by management. Follow all company health and safety procedures, food safety standards, and regulatory requirements.

Qualifications

High school diploma or equivalent required. Post-secondary education or relevant certifications are considered an asset. 1–2 years of experience in a warehouse, logistics, transportation, or distribution environment. Experience coordinating shipping, receiving, or transportation activities. Strong proficiency with Microsoft Office, including Outlook and Excel. Experience working with Warehouse Management Systems (WMS) is preferred. Excellent written and verbal communication skills. Strong organizational skills with exceptional attention to detail. Ability to prioritize competing tasks and perform well in a fast-paced environment. Comfortable working with multiple systems and handling time-sensitive responsibilities. Professional, dependable, and able to maintain confidentiality.
