Job Description:
*Note - This is a temporary role for approximately 18 months*
Purpose of Position
The Project Coordinator supports the successful day-to-day execution of the MCBS/FF Modernization Program, a large-scale, multi-year transformation initiative. This role is critical in enabling project flow, driving task follow-ups, and maintaining alignment across business, IT, and vendor teams. Acts as the connective tissue between stakeholders to ensure seamless coordination across multiple workstreams in a dynamic and fast-paced environment.
Key Responsibilities
Coordination & Tracking:
- Support the ongoing coordination of tasks, timelines, and milestones across business and technical workstreams to ensure deliverables, milestones are defined and on track throughout the various stages of the project.
- Produces a variety of project confidential reports, spreadsheets, and briefing materials to support the MCBS Project.
- Track progress against program schedules, monitor deliverables, and escalate risks or issues as needed.
- Maintain and update RAID logs (Risks, Assumptions, Issues, Dependencies) and key documentation in SharePoint and Teams.
Meeting & Communication Support:
- Facilitate meetings, workshops, and stakeholder sessions by preparing materials, capturing meeting minutes, and documenting decisions and action items.
- Support project reporting and monitoring including assisting in the development of dashboards, project status reports for program-level and executive-level updates
- Maintain project management calendars for fulfilling goals and objectives.
- Ensure timely and clear communication across all levels of the program
- Synthesize meeting minutes into a cohesive and engaging narrative that highlights key themes, decisions, and next steps
Cross-Team Collaboration:
- Act as a liaison between business leads, IT teams, and vendors to ensure alignment on tasks, scope, and deadlines.
- Support User Acceptance testing (UAT), training coordination, and deployment readiness activities across stakeholders.
- Foster collaboration and transparency across diverse teams and workstreams.
- Project team values: Brings curiosity, problem solving, holistic thinking, passion and ownership mentality.
Administrative & Reporting Support:
- Provides project administration support, such as documenting and following up on important actions and decisions from meetings, preparing necessary presentation materials for meetings.
- Maintain up-to-date program plans, calendars, and communications.
- Follow up on action items to ensure timely closure and support issue resolution.
- Help standardize documentation practices, ensure clean file storage, and enable knowledge sharing across workstreams.
Qualifications:
- Completion of postsecondary education – or a combination of education, training and experience deemed equivalent.
- 2–5 years of experience in a project coordination or PMO support role, ideally within a government or enterprise environment with proven expertise in prioritizing and managing competing priorities and deadlines.
- Knowledge of project management principles and best practices to support the PMO in providing oversight of all the organization’s projects.
- Strong organizational and tracking skills, with an eye for detail and a proactive approach to keeping workstreams aligned.
- Coordination skills to ensure that all parties are on track with project requirements, deadlines, and schedules.
- Strong written communication skills and detail-oriented to monitor multi-project activities and prepare dashboards, statistics, etc. by gathering, analyzing and summarizing relevant information.
- Proficiency in developing successful relationships with project leads to gather information needed to monitor project timelines and expenditures, etc.
- Demonstrated ability to take initiative, solve problems, and ask critical questions to move tasks forward.
- Exhibits confidentiality, discretion and superior judgement regarding all matters conducted in the MCBS Project and safeguards the confidentiality of projects, files and records.
- Strong written and verbal communication skills to document meetings and liaise with stakeholders.
- Experience with, project management software tools, methodologies, and best practices to effectively track/monitor status of projects; Familiarity with tools like MS Project, Excel, PowerPoint, SharePoint, Teams, and RAID logs.
- Expected to handle multiple priorities, demonstrate proficiency in project management tools, and contribute to budgeting and reporting.
- Ability to prepare and interpret flowcharts, schedules and step-by-step action plans.
- Proven ability to creatively problem-solve when issues arise in the progress of projects.
- Ability to work effectively both independently and as part of a team.
- Strong organizational instincts, a solutions-oriented mindset, and a track record of asking the right questions to bring operational diligence and strategic thinking to project coordination role.
- A curious, collaborative mindset with the ability to challenge assumptions and support delivery momentum.
Preferred:
- CAPM or PMP certification (or in progress).
- System Integrator experience is an asset.
- Experience coordinating cross-functional projects in the public sector or regulated industries.
- Familiarity with Microsoft Project, JIRA, or similar project tracking tools.
- Exposure to government reporting standards, audit readiness, or procurement documentation.
