##Overview

This role reports to the Manager, Total Rewards & Workforce Planning in Human Resources. The HR Assistant provides a wide range of HR support services to the Office of Human Resources, including administration, HRIS support, and Benefit Administration.

##Responsibilities

  • Process employee letters and payroll forms related to non-union (full-time and part-time) new hires, terminations, transfers, promotions, leaves of absence, salary adjustments, etc;
  • Calculate hourly/annual rates of pay, retroactive pay, and changes to employee benefits (pension, LTD, life insurance, etc.);
  • Setup and maintain employee files; distribute pertinent information to the payroll department
  • Administer the departure process for multiple employee groups including resignation letter collection, ending of wages and position within HRIS and benefit provider, confirmation and keying of outstanding vacation/overtime balances, and employee file coordination;
  • Serve as a back-up to Human Resources Coordinator throughout the year, including vacation/absence coverage. May be required to provide additional processing support during busy periods;
  • Be familiar with the Collective Bargaining Agreements and ensure compliance;
  • Non-union job evaluation administrative support.
  • Assist in the development and introduction of automation projects;
  • Input data and maintaining integrity of employee information entered in HRIS;
  • Assists in the review of current HR processes and systems and makes recommendations for improvement;
  • Maintains up-to-date process and system documentation;
  • Assists in evaluating, testing, documenting and implementing new or revised HR processes resulting from system updates/releases;
  • Ensures the HR Website is reviewed regularly and that information is correct and up to date;
  • Assists the Manager, TRWP in ensuring the accuracy of HR records and the integrity of HR data sources through regular reporting.
  • Support benefit orientations for all new employees;
  • Investigating and rectifying as appropriate both payroll and employee benefit problems, and recommending solutions to the Manager, TRWP;
  • Respond to internal and external HR related employee inquiries or requests and provide assistance;
  • Prepares letters and HR communications as required.

##Qualifications

  • Post-secondary education in Human Resources, or a related field is required.
  • One to five years of experience in a unionized environment working directly with HRIS as a Human Resources or Benefits Administrator is desired.
  • Those with a combination of education and experience will be considered.
  • Must have a comprehensive knowledge of HRIS, reporting systems, Microsoft Office Suite, collective agreement interpretation and well-developed troubleshooting skills.
  • Experience working with Ellucian/Colleague and workflow management tools is an asset.
  • Ability to successfully handle a high-volume workload combined with multiple priorities is critical.
  • Working knowledge of Human Resource principles and practices in an environment where much of the information is highly privileged and confidential.
  • Intermediate level understanding of employment related legislation, most notably Employment Standards Act.
  • The capacity to apply and interpret legislation, policies, procedures and collective agreements in a unionized environment.
  • Excellent oral and written communication skills, a high degree of organizational skills, flexibility and adaptability, capacity to work independently, and under strict deadlines.
  • Self-starter, with technical skills who can adapt to new systems and possess the ability to independently explore and learn new features of technology.
  • High attention to detail, organization and time management is essential.
  • Excellent research skills, a passion for customer service and keen attention to detail are also key factors for this role.
