FUNCTION & DUTIES:

Reporting to the Coordinator – Certification of Studies, the principal and customary role of the Office Agent, principal class, consists in organizing, overseeing and monitoring the work relating to the certification of studies and educational organization performed by his or her team.

The employee in this class of employment coordinates, distributes and verifies the work and gives his or her opinion on the quality, and ensures that deadlines are met.

The employee maintains digital and physical student records up to date.

The employee ensures staff integration.

The employee establishes the work schedule in his or her sector according to the instructions received.

The employee reminds the persons concerned, whether inside or outside the school board, of deadlines.

The employee carries out complex and specialized tasks as well as selects, prepares and verifies data.

The employee prepares documents, statements and reports requiring data entry—data that he or she locates inside or outside the school board and must interpret if necessary.

The employee makes suggestions and recommendations to improve the operations for which he or she is responsible.

The employee fills out forms, cards, purchase orders, form letters, notices or any other simple document of the same kind and forwards them, as required.

The employee writes and prepares e-mails, letters, booklets and reports.

The employee orders office supplies and manages inventory.

The employee plans the trips to Nunavik for his or her team members.

The employee handles billing and collects payments.

The employee carries out any other relevant tasks as requested by his or her immediate supervisor.

QUALIFICATIONS:

Hold a diploma of vocational studies in an appropriate specialization for the class of employment, a secondary school diploma or a certificate of studies recognized as equivalent by the school board.

Have six (6) years of relevant experience.

The Board may, at its discretion, waive any or all of the afore-mentioned qualifications if it finds a suitable candidate who is a beneficiary of the James Bay and Northern Quebec Agreement (JBNQA) and who accepts, as a condition of employment, to follow a training plan determined by the Board.

REQUIREMENTS:

Extensive knowledge of office automation.

Knowledge of Charlemagne, ADAN and DASH software.

Ability to work methodically and meticulously.

Good organizational skills.

Good judgment and autonomy.

Fluency in two (2) of the three (3) working languages of the school board (Inuktitut, French and English).

WORK SCHEDULE:

35 hours per week from Monday to Friday.

CLASSIFICATION / SALARY / BENEFITS:

In accordance with the AENQ collective agreement for support staff, this position belongs to job category 4101: from $23.12 to $28.31 an hour depending on qualification and experience. All benefits are prorated based on the percentage of the task.

About Kativik School Board

The Kativik Ilisarniliriniq, the school board of Nunavik, was created in 1975, under the James Bay and Northern Quebec Agreement (JBNQA).

Under the JBNQA, the Kativik Ilisarniliriniq is granted the power and jurisdiction to develop and deliver specific educational services and programs consistent with Inuit culture. The mission of the Kativik Ilisarniliriniq is therefore twofold. On the one hand, it acts as a regular regional school board for all Nunavik residents. On the other hand, it also acts as an exclusive Inuit institution with unique powers and jurisdictions that aim to protect, maintain, and develop the Inuit language, culture, and way of life.

Since 1978, the Kativik Ilisarniliriniq has been the exclusive provider of academic services to the population of Nunavik. The education programs developed by the school board are offered in all schools of the 14 Nunavik communities, in Inuktitut as first language and in French and English as second languages. The school board operates 17 primary and secondary schools as well as 5 adult education center.
