Title: Executive Assistant and Office Manager
Location: 37 Quarry Park Blvd SE, Calgary

Job Overview
Reporting to the Regional Vice-President, Southern Alberta Region, as the Executive Assistant and Office Manager, you will provide administrative support and services to the Executives. You also act as a representative, liaising with individuals and organizations on behalf of the Executive, and provide key resources, contact, and information to ensure the Executives are as effective as possible.
Your day-to-day responsibilities will include:
- Working collaboratively with the Executives to move initiatives forward that form part of
short-term/long-term strategic plans and annual operating plan objectives. - Liaising with internal business units and external parties as a representative of the Executives.
- Leading and/or assisting in the planning and organizing of company and employee engagement initiatives, company promotions and events throughout the year including co-chairing the Qualico Culture Club (Social Committee), securing staff volunteers and third-party service providers, developing annual plans, donation requests and ticket distribution, preparing and monitoring budgets, organizing meetings, assigning tasks, monitoring progress, and assessing events for effectiveness relative to overall employee engagement.
- Managing regional office building including equipment, supplies, staffing, and general office operations.
- Researching and analyzing memoranda, submissions and reports to prepare and coordinate the submission of summary briefs, internal and external communication materials or reports for the Executives.
- Managing calendars, scheduling and arranging for meetings, appointments and events as required for the Executives. Preparing detailed travel plans and arranging travel necessities for regional and corporate meetings.
- Managing files and record-keeping, organizing documents for distribution and coordinating delivery in a timely manner.
- Monitoring and relaying telephone messages from internal and external sources to the Executives.
- Attending meetings, taking and distributing meeting minutes, and following up on assigned action items.
- Acting as a liaison for corporate support services including HR, safety, legal, and accounting, as well as all IT technology needs, troubleshooting and contacting IT as needed.
- Establishing and maintaining administrative policies and procedures.
- Handling confidential business and personnel information with integrity and professionalism.
- Collaborating with the Regional Communication Business Partner regarding events, corporate responsibility, communication and marketing for the region.

Essential Requirements
- Degree/Diploma or professional administrative designation.
- Minimum 6 years of administrative or executive assistance experience.
- Valid driver’s licence and access to a reliable vehicle.
- Satisfactory verification of criminal record check.
- Fully proficient in using office equipment and Microsoft Office programs (Outlook, Word, Excel, Teams, SharePoint and PowerPoint).
Preferred Qualifications
- Previous experience supporting company executives is preferred.
- Previous experience working with employee engagement initiatives, attracting, retaining and developing new staff, a land development company or homebuilder is an asset.

Work Conditions
You primarily work in an office setting during regular business hours. Travel to other branches and work outside of normal business hours or overtime may be occasionally required.
