Type: Permanent Full-Time

Location: Fully Remote

Lifemark is looking for a Bilingual Service Coordinator. This position is a virtual one, so you can live in and work from: Ontario, Quebec, Nova Scotia, New Brunswick, PEI or Newfoundland and Labrador! Be the link between clients and referral sources, acting as an information resource for key customers. As a member of the Intake Contact Centre, this role is an integral position which assures Lifemark can provide early treatment intervention and access for patients who require quality treatment services. The position requires someone with the ability to interact with staff, patients and customers in a fast-paced environment. The successful candidate will have a high level of professionalism and the ability to exercise sound judgment in dealing with confidential client information.

The Bilingual Service Coordinator position is for someone who has the capacity to work well under tight timelines while remaining flexible, proactive, resourceful, efficient and knows when to exercise timely initiative to problem solve as needed. The successful candidate will know how to adhere to standard administrative processes to ensure accurate and timely reconciliation of patient information for tracking and service delivery. A person interested in this position should possess expert level written, verbal communication and interpersonal skills, with a strong decision-making ability and attention to detail. The successful candidate will be exceptionally well organized, flexible and enjoy the challenges of supporting a variety of key customers. This opportunity is ideal for existing employees who have a strong understanding of in-clinic operations.

Core Responsibilities:

  • Act as the initial point of contact for clients, companies and patients
  • Act as central point of contact for client referrals
  • Accept and record new referrals on client intake forms and intake systems
  • Inputting, updating and maintenance of patient/ client information into internal databases
  • Verify information and coordinating of assessment times with clinics
  • Call patients/ clients and clinics to book appointments via the internal client/ patient booking system
  • Providing customer service and follow-up with referral sources to ensure case management and patient needs are met
  • Being responsive to client/ patient general inquiries and a sound general knowledge of Lifemark program and services
  • Providing support and assistance with monthly referral tracking and quarterly outcome reports
  • Collaborating with external and internal resources to coordinate services and programming that are identified as part of a client service plan
  • Experience working with accounts receivables and knowledge of basic accounting practices
  • Experience working in a virtual office environment
  • Adherence to all company protocols and policies

The ideal candidate will have the following experience:

  • 2+ years of previous customer service/ administrative experience
  • Bilingualism in French and English is required as you will be required to interact at a national scale
  • Possess advanced written and verbal communication skills with strict attention to detail
  • Possess strong interpersonal skills to maintain customer relationships with client companies and patients
  • Have the ability to prioritize under pressure and multi-task
  • Possess strong computer skills; specifically in MS Word, Excel and have an aptitude for database software
  • Have working knowledge of basic accounting practices
  • Possess exceptional organizational skills, work independently, takes initiative and has a strong work ethic
  • Work well in a team environment as well as, the ability to work independently
