Course Reserves Coordinator, Library *Term*
About the role
*This is a term position until November 6, 2026*
The Library’s mission is to sustainably develop, preserve and make accessible UWinnipeg’s knowledge and cultural resources in support of teaching and research. It is a core academic service that provides the spaces and services necessary for students, faculty, and community researchers to discover, create, access and use these resources.
TheCourse Reserve Coordinator is full-time termposition tasked with managing the Library’s course reserves service, providing efficient access to Library resources and ensuring the delivery of high quality public service to the University community.
Responsibilities:
- Plans workflows to correspond with academic term timelines e.g. placing items on Reserve at beginning of term, then removing items and ensuring the return of materials at the end of term.
- Processes resources within the library’s course reserve system.
- Acquires and uploads lists of students that do not appear in the Student Information System into the course reserve system.
- Ensures reserve materials comply with the University’s Fair dealing guidelines and directs copyright compliance issues or questions to the Copyright Office.
- Adjusts parameters, manages permissions, and coordinates communications in the library’s course reserve software.
- Communicates with faculty, students, and librarians; responds to requests and resolves reported problems; orients and supports faculty and staff in the appropriate use of the library’s course reserve system.
- Liaises with vendor technicians and the Library Systems department on technical issues with the library’s course reserve software.
- Revises work practices pertaining to the unit’s workflow as needed.
- Coordinates with library departments on the processing and pickup of Reserve materials.
- Stays up-to-date on relevant copyright policies.
- Collects and reports relevant statistics.
- Maintains Reserve Manual in coordination with the Head of Access Services.
- Checks circulating resources out to authorized patrons, processes returns, and renews materials for library users using the ILS and associated support systems.
- Creates, updates, and revises Library patron records as required in the ILS.
- Provides instruction to Library patrons on how to use the Library website to access accounts, renew materials, and access Reserves information.
- Collects on overdue accounts and removes holds once outstanding fines and materials are settled.
- Maintains good public relations with Library patrons, answers general and directional questions, and refers Library patrons to appropriate service points.
- Deals directly with patrons concerning circulation issues, resolves and explains policies, refers complaints and broader administrative concerns.
- Collects, sorts, and re-shelves resources.
- Provides instruction, assistance, and basic maintenance with Library technology.
- May carry out Library opening and/or closing procedures.
- May create, maintain, or update correspondence, files, records, reports, and tracking systems.
- May assist with the maintenance of various tracking systems.
- May participate in developing and maintaining standards, policies, procedures, and manuals.
- Trains, allocates tasks, and assists junior staff with problems.
- Attends meetings and takes part in Library committees as appropriate.
- Assists or consults with other staff to complete projects
- Performs other related duties as assigned.
Qualifications:
- High School Completion or acceptable equivalent.
- Undergraduate degree would be an asset.
- A 2-year diploma from a recognized Library technician’s program (or equivalent) would be an asset.
- Three years of directly related library experience using procedures and systems appropriate to the area.
- Working knowledge of circulation standards and procedures.
- Experience with course reserve and integrated library system software, familiarity with Ares, and/or WMS would be an asset.
- Experience with Microsoft 365.
- Knowledge of library techniques and practices.
- Ability to coordinate the work of others.
- Ability to multitask and manage time effectively.
- Strong public service orientation.
- Ability to exercise good judgment within a team environment.
- Ability to communicate effectively orally and in writing with faculty, staff, students, and the public.
- Ability to understand and follow oral and written instructions.
- Ability to apply automated and manual procedures.
- Ability to work independently and cooperatively with others.
- Accurate keyboard skills and the ability to learn currently used and new software packages.
An equivalent combination of education, experience, skills, knowledge and abilities may be considered.
Condition(s) of Employment:
- Must be legally entitled to work in Canada.
The salary range for this position will be from $26.65 to $33.45 hourly.
