About the role
Position: Business Process Analyst Location: Toronto, ON - Hybrid (1 day/week onsite) Salary: $50-$75 per hour Job Type: 2-3-month Contract Start Date: As soon as possible Posting Type: Open vacancy
Our client, a well-established not-for-profit organization based in Toronto, is seeking a Business Process Analyst to support a short-term but high-impact process improvement initiative across Fundraising Operations and Finance. This role will focus on bringing structure, clarity, and alignment to complex cross-functional workflows by documenting, analyzing, and optimizing current-state business processes.
The successful candidate will act as a neutral facilitator across departments, engaging key stakeholders to understand existing workflows, identify gaps and inefficiencies, and define clear future-state processes. This is an excellent opportunity for a strong Business Process Analyst who enjoys working in collaborative environments and transforming operational complexity into clear, actionable documentation and recommendations.
Key Responsibilities:
- Lead stakeholder discovery sessions and interviews with Fundraising Operations, Finance, and other business units
- Document current-state business processes, workflows, and operational procedures
- Develop detailed process maps outlining workflows, decision points, handoffs, and dependencies
- Identify bottlenecks, inefficiencies, and areas of misalignment across teams
- Facilitate discussions to clarify business requirements, expectations, and information needs
- Define and document roles and responsibilities across key processes (including RACI development)
- Develop future-state process recommendations to improve efficiency, collaboration, and accountability
- Create Standard Operating Procedures (SOPs) and supporting process documentation
- Present findings, gap analysis, and recommendations to leadership and stakeholders
- Collaborate with internal project resources to ensure alignment and knowledge transfer
Requirements:
- 5+ years of experience in business analysis, process mapping, process improvement, or operational analysis
- Proven experience facilitating stakeholder discussions and leading process mapping initiatives
- Strong ability to document current-state and future-state business processes
- Experience developing SOPs and RACI matrices
- Strong understanding of business process improvement methodologies
- Excellent communication, facilitation, and documentation skills
- Ability to manage sensitive stakeholder conversations with diplomacy and neutrality
Preferred Qualifications:
- Experience working within the not-for-profit sector
- Exposure to fundraising operations or CRM systems such as Raiser's Edge
- Experience working with Finance or Accounting teams
- Familiarity with tools such as Visio, Lucidchart, or Miro
- Experience in short-term consulting or project-based environments
Deliverables:
- Current-state process maps
- Future-state process maps with recommendations
- RACI matrix outlining roles and responsibilities
- Standard Operating Procedures (SOPs)
- Gap analysis identifying inefficiencies and opportunities
- Recommendations for workflow improvement across Finance and Fundraising Operations
- Practical implementation roadmap for process enhancements
