Job Summary:
The Executive Assistant will provide high-level support to the CEO. This role goes beyond traditional administrative tasks, requiring strategic thinking, discretion, and the ability to anticipate needs in a high-growth, fast-paced environment. The Executive Assistant will act as a trusted partner, ensuring leaders are focused on top priorities while keeping operations running smoothly.
NOTE: This is a full-time, permanent, on-site position in downtown Vancouver.
Key Responsibilities:
Executive Support
- Manage complex calendars, schedule meetings across multiple time zones, and proactively anticipate scheduling conflicts.
- Prepare executives for meetings by gathering briefing materials, creating agendas, and following up on action items.
- Handle confidential information with the utmost discretion.
Operational Support
- Coordinate domestic and international travel logistics, including flights, accommodations, and itineraries.
- Support board and investor relations by drafting presentations, coordinating communications, and preparing reports.
- Assist with special projects, including fundraising efforts, strategic initiatives, and cross-functional operations.
Communication & Collaboration
- Serve as a key point of contact between executives, team members, clients, and external stakeholders.
- Draft and proofread high-impact communications, such as emails, memos, and investor updates.
- Ensure timely follow-up on commitments, acting as a "force multiplier" for the leadership team.
Startup Agility
- Jump in wherever needed, whether coordinating company events, or helping with internal communications.
- Proactively identify ways to improve efficiency, systems, and processes within a scaling organization.
What You Should Already Have:
- 4+ years of Executive Assistant or Chief of Staff-style experience, ideally in a high-growth startup, fintech, or technology environment.
- Exceptional organizational and multitasking skills, with the ability to prioritize in a constantly changing landscape.
- Strong written and verbal communication skills; able to represent executives with professionalism.
- High emotional intelligence, discretion, and a proactive “can-do” attitude.
- Proficiency in productivity tools (Google Workspace, Slack, Notion, Asana, Zoom, etc.).
- Comfortable with ambiguity; thrives in an environment where speed and adaptability are key.
