The Community Living Society (CLS) is an innovative non-profit organization which since 1978 has been dedicated to supporting adults with intellectual and developmental disabilities so that they can live full, productive, and meaningful lives. We are leaders in providing quality Person Centred support through our residential, individualized and community based supports so that people can reach their greatest potential. We have over 500 employees and work with over 400 individuals throughout the Lower Mainland.

The Administrative Assistant/Receptionist is accountable for providing administrative assistance for all Administrative Centre departments as well as reception duties when needed, under the direction of the Manager of Administration.

Principle Functions and Accountabilities

  • Provides reception support when necessary.
  • Office administrative duties such as: processing incoming and outgoing mail/faxes; prepares all incoming invoices; processing mail merges, maintaining and ordering supplies for photocopier, facsimile and postage meter; transmitting facsimiles; receiving and sending courier packages; and maintaining and ordering all stationery supplies.
  • Ensures all photocopy stations are continually tidy; fills all paper bins of the copier.
  • Processed orders for business cards.
  • Manages off-site record storage.
  • Oversees production of photo ID for employees and Supported Individuals.
  • Provides room setup for meetings; orders food when required.
  • Prints and prepares newsletters and other communications for distribution.
  • Tracks and distributes tickets for events for Supported Individuals.
  • Performs other related duties and special projects as assigned by the Manager of Administration.

Qualification, Requirements and Physical Demands

  • Senior secondary graduation.
  • Minimum keyboard skills of 50 wpm.
  • Proficient in Microsoft Office.
  • Working experience in an office environment.
  • Exceptional people and communication skills.
  • Assumes a polite and professional manner when performing all duties, communicating with stakeholders via in-person, telephone, and email.
  • Ability to work well under both full and minimal direction, is accurate and detail oriented, good listening skills and is flexible with shifting priorities. Is able to work well under pressure and handle repetitive work.
  • Must be disability confident; be able to communicate, assist and interact with people with developmental disabilities.

Available Position: Temporary Full-Time

  • Monday: 9am - 5:00pm
  • Tuesday: 9am - 5:00pm
  • Wednesday: 9am - 5:00pm
  • Thursday: 9am - 5:00pm
  • Friday: 9am - 5:00pm

Wage*:* $23.00 per hour
