About the role

Are you a detail-oriented and ambitious professional with a passion for finance and investments? Our client, a well-established private investment and mortgage firm, is seeking an Mortgage Administrator to join their growing team.

This is an excellent opportunity for someone who thrives in a dynamic, fast-paced environment and enjoys managing multiple priorities while delivering exceptional client service.

Key Responsibilities:

Provide daily administrative support to the Dealer Representative (DR) and Exempt Market Dealer (EMD) teams.

Prepare, process, and track account documentation and investment transactions.

Maintain accurate and up-to-date client files, records, and databases.

Assist in the preparation of reports, statements, and correspondence.

Respond to client inquiries in a professional and timely manner (in person, via email, and by phone).

Liaise with internal departments and external partners to coordinate client requests and troubleshoot account issues.

Assist with mortgage administration, including preparing mortgage statements, recording transactions, and auditing borrower files.

Contact borrowers to address issues such as overdue payments, strata arrears, outstanding property taxes, and insurance requirements.

Administer and maintain investment accounts (RRSP, TFSA, and non-registered portfolios).

Process investor contributions, transfers, and redemptions accurately and in compliance with policies.

Reconcile reports and data using Excel and internal systems.

Contribute to process improvements and support operational efficiency within the department.

Skills & Qualifications:

2–5 years of experience in the securities or investment industry.

Strong understanding of RRSP and TFSA investment accounts.

Proficiency in Microsoft Office, particularly Excel (formulas, pivot tables, and data organization).

Familiarity with Dolphin software is a strong asset.

Excellent organizational skills, attention to detail, and the ability to multitask effectively.

Strong client service orientation with excellent verbal and written communication skills.

Proven ability to work under pressure and meet deadlines in a fast-paced environment.

Effective problem-solving skills with the ability to work both independently and collaboratively within a team.

A proactive and ambitious mindset, with an understanding of both the investment and mortgage sectors.
