Your contribution!

The person will provide comprehensive administrative support to members of the senior management team and contribute to the smooth and efficient running of their schedules. The ideal candidate is detail-oriented, organized, proactive, quick-witted, able to manage priorities and follow up as needed, and has excellent communication and schedule conflict resolution skills. The person will be responsible for managing a complex schedule, coordinating meetings, handling confidential information, and performing various administrative tasks.

Your day-to-day!

  • Provide high-level administrative support to members of the senior management team, including managing calendars, scheduling meetings, and organizing travel;
  • Ensure proactive management of schedules, work deadlines, and travel arrangements;
  • Manage, filter, and respond to routine correspondence, questions from various stakeholders, and various requests;
  • Handle logistics for meetings and business trips, including reservations, schedules, necessary documents, and all other required arrangements;
  • Provide proactive support in the preparation, drafting, verification, translation, and revision of documents and presentations;
  • Ensure diligent follow-up with other employees on various matters;
  • Promote a professional image in all communications and interactions, both internally and externally;
  • Plan and coordinate meetings, room and meal reservations, if necessary;
  • Coordinate travel arrangements and optimize reservations to ensure sound cost management (flights, accommodation, car rentals, etc.);
  • Prepare expense reports and timesheets;
  • Coordinate and maintain electronic files and records, ensuring their accuracy and accessibility;
  • Serve as a point of contact for internal and external stakeholders, maintaining professional and positive relationships;
  • Perform any other duties in support of the team.

Your skills, our requirements!

  • Bilingualism (French and English, both spoken and written) required to ensure collaboration with various stakeholders outside Quebec on a recurring basis;
  • At least 7-10 years of experience in a similar position;
  • DEC in administration or any other equivalent discipline; a DEP combined with extensive relevant experience will be considered equivalent;
  • Experience as an executive assistant or in a similar role, preferably working with senior executives;
  • Good management of priorities and strong organizational skills;
  • Ability to work under pressure with tight deadlines;
  • Diplomacy, resourcefulness, rigor, meticulousness, and a high degree of autonomy;
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously;
  • Excellent oral and written communication skills;
  • Ability to handle confidential and sensitive information with professionalism and discretion;
  • Strong problem-solving and decision-making skills;
  • Proficiency in Microsoft Office Suite.

  • The position is be based in the company's Longueuil headquarters, steps away from the Longueuil-Université de Sherbrooke metro station.
  • This position is an S4CH level.
