POSITION SUMMARY

As a Client Services Representative, you'll serve as a key connection between our clients and their group life, health, and dental benefits. You'll ensure a seamless experience by accurately processing applications and changes, expertly handling inquiries, and diligently managing billing and accounts. Your sharp eye for detail, commitment to exceptional service, and ability to navigate complex situations will be crucial in maintaining an exceptional client experience and upholding our high standards.

KEY DUTIES AND RESPONSIBILITIES

Client Support & Communication

  • Respond to Inquiries: Professionally and efficiently address client and member inquiries via phone and email regarding enrollment, eligibility, and billing.
  • Resolve Discrepancies: Investigate and resolve billing discrepancies, working closely with clients, advisors, and internal teams.
  • Client Advocacy: Act as a key liaison between our Group Sales team and clients/advisors, fostering strong relationships.
  • Correspondence Management: Produce and distribute essential client letters and reports, ensuring all data is handled securely and confidentially.

Benefits Administration & Processing

  • Application & Change Processing: Accurately process new applications, changes, and terminations for Group Life, Health, and Dental plans, ensuring compliance with all enrollment procedures and production standards.
  • Electronic Enrollment Management: Review and process enrollment and change data received through electronic files.
  • Payment Processing: process and reconcile payments
  • Account Management: Proactively follow up on returned payments and past-due accounts for assigned clients.
  • Data Gathering: Collect necessary data for unusual enrollment situations by reviewing group agreements or contacting group administrators/members.
  • Underwriting Liaison: Collaborate with Group and Medical Underwriting on enrollment or change exceptions, late applications, and excess insurance amounts.
  • Eligibility: Work with Case Management to confirm employee eligibility or status and apply appropriate procedures based on the Group Agreement.
  • Annual Verification: Request, process, and review discrepancies for the annual salary verification process before client renewal dates.

Quality & Efficiency

  • Report Review: Review reports for errors and discrepancies, making necessary adjustments.
  • Payment Information Management: Process and maintain group pre-authorized debit and member direct deposit information.
  • Procedure Maintenance: Update and maintain departmental procedures in Confluence.
  • Process Improvement: Identify opportunities to enhance process efficiency and recommend improvements.

QUALIFICATIONS AND SKILLS

  • Post-secondary degree, diploma or certificate in Business Administration or an equivalent combination of education and 1-3 years of related experience in client services, benefits administration, or a similar field.
  • Dedicated to the principles of exceptional service; committed to responding to, anticipating, and addressing customer needs, for both internal and external customers.
  • Excellent organizational skills, with the ability to independently prioritize multiple activities on an ongoing basis and perform the requirements of the role efficiently and with high attention to detail.
  • Strong verbal and written communicator, with the ability to clearly communicate for understanding, resulting in concise and clear documentation and business requirements.
  • Strong team player who enjoys collaboration and shares knowledge openly.
  • Proficient computer skills, including MS Word, Excel, and Outlook; and the ability to learn computer applications internal to the Client Services department.
  • Self-directed, with exceptional organizational skills and a proven record of managing and prioritizing multiple tasks within varied and dynamic timelines on an ongoing basis.
  • Capacity to approach problems methodically, breaking down complex issues into manageable components, and develop innovative process solutions.
  • Experience in insurance or health related industry, knowledge of medical terminology, an asset.
