About the role

Job Title: Office Receptionist

Reports to: Manager, People and Culture

The Receptionist will be required to perform an array of administrative duties including secretarial and receptionist duties such as, but not limited to, coordinating and communicating office activities, greeting and screening visitors, answering and referring inbound telephone calls, and maintaining orderliness in common office spaces. The Receptionist will also provide support to the People and Culture team as needed.

Essential functions

  • Greet & provide visitors information and direction in a professional manner
  • Answer phone calls and direct callers to the appropriate party
  • Process, sort, and route incoming and outgoing mail
  • Monitor and manage inventory of office supplies; order and distribute office supplies as necessary
  • Coordinate and schedule appointments and meetings as needed
  • Ensure all common spaces in the office are well-maintained and kept orderly by completing the opening and closing checklist
  • Process and prepare shipments for courier pick up
  • Respond to incoming email and gift card inquiries accordingly and direct communication to the appropriate parties
  • Provide support to the People and Culture team with various tasks such as executing internal company events, internal communications, and handling and completing employee requests
  • Perform other administrative support tasks, including updating and sorting files, drafting, and proofreading correspondence, and conducting research
  • Administer company-wide communications
  • Assist in invoicing, funds administration, etc.
  • Other duties, relevant to the position, shall be assigned as required

  • Stays up to date on all training as required and follows all health and safety, and sanitation policies enforcing with disciplinary action as needed.

  • A team player, who provides support to colleagues and has a hands-on approach.
  • Conducts themselves in a solutions-based approach, solving problems collectively and reporting any concerns at an appropriate time to your manager.
  • Follows all policy and does not engage in any actions that may be perceived as conflicting with company policy regarding bullying, harassment, discrimination, and/or violence.

Required Skills and Qualifications

  • Strong communications skills
  • Ability to work independently and in a team with effective communication
  • High school diploma required. Some college or university degree preferred.
  • Proficiency in Microsoft Office Suite
  • Previous Receptionist, or relevant, experience not required but is an asset

Physical Activities and Requirements of this position

  • Corporate office and restaurant environment.
  • Monday to Friday availability required for this in-office position
  • The position may require long hours of sitting/ standing
  • Must be willing to drive, and travel, as needed for business.
  • Must be able to lift and maneuver packages up to 15 lbs
