Reporting to the Vice President, the Proposals & Pursuits Specialist will work closely with the operations teams on the entire lifecycle process focusing on; leading, developing, assembling, tracking, submitting and follow-through of proposals as well as supporting strategic pursuits initiatives.

RESPONSIBILITIES

**Proposals -**Lead the process lifecycle of proposals & pursuits:

  • RFP/Bid kick-off, stakeholder engagement, communications, preparation, assembly, review, submission & post-submission follow through initiatives.
  • Read and distribute Expression of Interests, Request for Proposal RFP information to the pursuit team.
  • Set & lead kick-off meetings focusing on creating and distributing the responsibility matrix with the pursuit team.
  • Set deadlines and progress follow-ups for proposal & pursuit content with respective stakeholders to ensure timely reviews and submissions can be managed.
  • Distribute requests for information and clarifications internally, as required.
  • Centralize and standardize RFP content database with a continuous improvement & differentiation mindset.
  • Strategize on and simplify proposal content working with identified subject matter experts.
  • Manage and prepare technical content (i.e. project execution plans, schedules).
  • Collaborate with divisional proposal network sharing and integrating lessons learned and best practices.
  • Manage pre-qualification accounts (ISN, Avetta etc).

**Strategic Pursuits -**Incorporate a differentiation & continuous improvement mindset post submission:

  • Lead the management of the CRM data base on submissions, award-timelines, customer / market trends on win or loss themes.

  • Set-up and participate in client debriefs and document feedback within CRM tool.

  • Integrate win or loss themes into continuous improvement process of proposal content to support strategic growth.

  • Act as the single point of contact for all post submission activities and other communications.

  • Maintain client relationships in a proactive manner to identify opportunities & drive strategic bid pipeline volumes.

  • Create new and update employee resumes and project profiles as needed.

  • Ensure consistent customer experience for all submittals incorporating marketing content & branding standards.

QUALIFICATIONS

Education and Experience

  • Relative industrial maintenance and/or construction) experience within the in a relatable function OR

Undergraduate degree/diploma in a business field; marketing/communications, journalism OR Experience in a sales / business development with proposal creation responsibility.

  • Superior storytelling abilities with outstanding visual, written and verbal communication skills

Skills, Knowledge and Required Competencies

  • Ability to collaborate & communicate with stakeholders at all levels both internally & externally.
  • Excellent project coordination skills and understanding of key business processes
  • Experience working with the proposal software considered an asset.
  • Experience working with a CRM tool (Microsoft Dynamics) considered an asset.
  • Experience working with Adobe Creative Cloud Suite (InDesign, Illustrator, Photoshop).
  • Experience working with Microsoft Office (Outlook, Word, Excel, SharePoint, etc.).
  • Ability to forge, grow and maintain positive relationships.
  • Ability to manage multiple priorities simultaneously and meet the time demands of unpredictable activities, capable of handling pressure and challenges in a dynamic business environment.
  • Ability to work within tight deadlines and prioritization of work to achieve them.
  • Strong analytical, critical thinking, troubleshooting, problem-solving skills, and a high degree of accuracy and attention to detail.
  • Highly developed interpersonal, communication, and organizational skills.
  • Sense of urgency and strong commitment to achieving goals; ability to work in challenging, fast paced environment.
  • Ability to work collaboratively with a positive attitude.
