The Opportunity
Under the direction of the Operations Superintendent, the Operations Administrator is responsible for office management, preparation, data entry, and filing of Operations reporting, creation of communication materials, and inventory management. This position is located on site, at the Wolf Sturgeon Compressor Station which is approximately 25km northeast of Fort Saskatchewan, AB.
TERM: this is an 18-month temporary contract position.
Key Responsibilities
Purchasing, receiving & inventory maintenance:
- Create purchase orders for all field material and service needs
- Prepare month end accruals and forecasting
- Manage field time ticket tracking
- Support project cost tracking
- Facilitate new vendor onboarding
- Maintain inventory management for office supplies and consumables
- Prepare budget reports
- Manage vendor communications
General office administration:
- Coordinate and track incoming deliveries to site
- Manage truck fleet - insurance, fuel, and leases
- Coordinate meetings - equipment needs, location, catering, etc.
- Book business travel and training courses
Filing and reporting:
- Organize and file operations paperwork
- Assist with gathering safety related data for monthly reports and Board reports
- Facilitate collection of data and ensure consistent electronic filing
- Assist operations with procedure management – editing, formatting, and tracking
- Data extraction from competency management software
Communications:
- Assist with preparation of correspondence, reports, presentations, spreadsheets, and other documentation as required
- Support monthly Safety Meetings - agenda, assisting chairperson, minutes, and follow-up
Qualifications and Experience
Education:
- Completion of a High School Diploma
- Related post-secondary education would be considered an asset
Experience:
- 5-10 years of administrative experience
- Experience in field-based operations
Skills:
- Strong proficiency with Microsoft software applications including Outlook, Word, Excel, and PowerPoint
- Self-starter with the ability to work independently and can manage many concurrent unrelated activities
- Challenge the status quo by identifying opportunities for process improvements
- Excellent communication, interpersonal, analytical, and problem-solving skills
- Demonstrate dependability and adaptability to new assignments
- Share a positive and supportive attitude
- Work collaboratively with others in a team environment
- Possess a high level of ethics and adherence to code of conduct & confidentiality
- Assist Operations Superintendent with the preparation and delivery of written reports, correspondence, and documentation; with exceptional grammar, clarity, and structure to support board presentations
