About the role
Port Hope Veterinary Hospital is seeking an experienced client service representative (CSR) to cover a planned leave of absence. This is a temporary, full-time position starting in November 2025. If you are a friendly, outgoing, reliable and enthusiastic team player with a passion for dogs, cats, and their owners, we want to hear from you! Priority will be given to candidates with relevant experience in the field. Excellent communication and customer service skills are an absolute must.
We are a small animal practice offering routine care appointments, dental surgery, general surgery, digital x-ray, ultrasound, grooming services, and more.
The successful candidate must demonstrate superior time management and organizational skills and the ability to effectively prioritize tasks in a busy environment with multiple interruptions, all while providing exceptional customer service. Must be comfortable working with dogs and cats.
Duties:
- Create a warm and welcoming environment for pets and pet parents.
- Answer phone calls, manage appointment schedule and front desk
- Invoicing and billing for veterinary goods and services
- Maintain accurate electronic medical records and client information
- Assist clinical team with various tasks as needed
- Inventory management - daily ordering and receiving
- General housekeeping duties; lobby and treatment areas
- Demonstrate an understanding of veterinary terminology
- Demonstrate compassion and respect when interacting with clients
- Coordinate and ensure smooth client and patient flow within the hospital
Qualifications:
- High school diploma or equivalent, post-secondary diploma or degree preferred
- Knowledge of Veterinary Medicine or willingness to learn the industry
- Ability to work effectively as part of a team and assist staff with various tasks
- Prior experience in a veterinary clinic or animal care setting is preferred
- Proficiency in using software systems for appointment scheduling and record-keeping strongly preferred
- Excellent communication skills to interact effectively with clients, colleagues, and vendors
- Ability to multitask, prioritize work assignments, and work efficiently in a busy environment
- Self-motivated, shows initiative, and works independently
- VA Veterinary Assistant (VA) or Veterinary Office Assistant (VOA) certificate is an asset
