FAMILY STEPPING STONES - Community Resource Supervisor (Term)
New Directions is a social service agency offering a wide range of resources and services that foster the hopes and dreams of people and their communities.
**Child Home Services (CHS)**offers a range of models of home supports (i.e., family supports, care provider home, group care homes, individualized homes, independent living, mentored living) to children, youth, and families who are dealing with challenges related to the experience of trauma and/or living with a disability. Our community-based resources are designed to support connection with family and community, a sense of belonging, development of skills, and provide opportunities to engage in a meaningful life.
**Family Stepping Stones (FSS)**offers supports for families who struggle with parenting due to various factors (e.g., substance use, mental health, lack of resources, trauma, lack of supports, etc.) and whose children are in care of CFS or at risk of coming into care.
The Community Resource Supervisor is responsible for the administrative and office support functions within the Family Stepping Stones service area. The supervisor ensures accurate and timely reporting and documentation, maintains databases, schedules training logistics, manages compliance records, and oversees the office's technological and stationary requirements. The supervisor engages with the FSS leadership team in the planning, consultation and implementation of various projects and initiatives, and serves as a subject matter expert on licensing, ensuring the program meets licensing expectations and deadlines.
Responsibilities include (but are not limited to):
- Provide administrative, reception, data entry and clerical services, requiring knowledge of different reporting mechanics, compliance requirements, internal/external procedures.
- Assist with staff scheduling upon request.
- Oversee day-to-day program procedures and recommend changes when necessary.
- Participate in the development of service area specific policy and procedures.
- Order and maintain office supplies, protective equipment and select house supplies for service area (upon request)
- Maintain and update files and client database.
- Assist in developing and executing internal efficiencies to ensure a streamlined and well-functioning day-to-day work environment.
- Assist in processing invoices, including a range of internal/external transactions with our service providers.
- Assist in developing and editing a variety of internal forms.
- Oversee and update funding sheets
- Process time sheets
- Ensure all documentation is completed as per licensing and New Directions requirements: individual logs/daily recordings/charts, appointments, contact with family and other professionals, incident reports, other documents (as requested)
- Responsible for compiling and timely submission (i.e., by the first working day of the month) of monthly attendance sheets and billing forms, including billing of additional child support hours.
- Ongoing review of the Home’s E-logs – uploading and file as requested
- Monthly meetings with Case Managers in Family Stepping Stones homes
- Process and track incident reports.
- Provide guidance to homes regarding purchasing of house and office supplies within their individual home budgets.
- Coordinate ordering of printer ink.
- Facilitate online orders for additional supplies, ensuring costs are allocated appropriately to home budgets.
- Facilitate the availability of printer paper at the main office.
- Provide support with SharePoint, including:
- Setting up youth files
- Updating the Child Tracker
- Updating locked sections of Home Profiles
- Support staff in navigating internal tracking tools and documentation systems.
- Collaborate with the Resource Coordinator when additional technical or system support is required.
The successful candidate will have:
- Completion of high school (or grade 12 equivalent) and additional business administration training from a recognized college or institution.
- Two to three years of experience in administrative roles that handle confidential information.
- Strong computer and data entry skills, with a minimum of 60 w.p.m. typing in Microsoft Word, proficiency with Microsoft Excel and the full Microsoft Office Suite, and the ability to continuously learn new database processes. Experience working with SharePoint (or similar) and PowerPoint are considered an asset.
- Ability to self-manage time and balance work to meet strict timelines for the completion of tasks and competing priorities.
- Strong organizational skills, a keen attention to detail, and the ability to maintain strict confidentiality.
- Clear and concise verbal and written communication skills and a demonstrated ability to be diplomatic in handling all situations.
- Effective problem-solving ability and excellent customer service skills.
- The ability to work independently and as a part of a team.
- Valid Class 5 Driver’s License with access to a vehicle -A combination of experience, training and education may be considered
The salary range for this Full-time, regular 70-hour bi-weekly position is $23.9254 to $31.0939 per hour, (equivalent to $43, 544.23 - $56, 590.90 annually) dependent upon education and/or experience. This position is eligible for a full benefits package (which include Health and Dental Benefits, Long Term Disability Benefits, and a Pension Plan).
The successful candidate will be subject to Criminal Record, Child/Adult Abuse Registry, and Prior Contact checks; and must supply a current Driver's Safety Rating.
