Position Summary
Reporting to the Executive Assistant, the Administrative Assistant provides administrative, financial, and operational support within one of Centennial College’s four divisions. The Administrative Assistant plays a vital role in ensuring the smooth, efficient, and professional operation of the division by supporting day-to-day administrative functions, coordinating correspondence, and maintaining accurate records and systems. The Administrative Assistant serves as a central resource for staff, students, faculty, and external stakeholders, delivering high-quality customer service while upholding confidentiality, accuracy, and institutional standards.
Responsibilities

Provides front-line support to divisional teams including reception, scheduling meetings, managing calendars, and preparing correspondences.

Draft, edit, and proofread internal and external documents, reports, and communications
-
Maintains and updates organized filing systems (digital and physical), divisional contact lists, and distribution lists, shared calendars and division templates
-
Coordinate meeting logistics, including booking spaces, supporting hybrid/virtual setups, and managing A/V requirements.

Track divisional timelines, deadlines, and deliverables, sending reminders to stakeholders as needed.
-
Support financial administration by processing purchase requisitions, invoices, expense claims, and budget tracking.

Input and maintain accurate data across institutional platforms, generate reports, and ensure compliance with confidentiality standards.

Act as a communication liaison, responding to inquiries, coordinating information flow, and supporting internal communications.

Assist with onboarding and offboarding processes, including workspace setup, tech requests, and welcome materials.

Coordinate and support the administration of EPAF, EICN, EIPF and Contracts for the division
-
Supports in the planning and execution of divisional events, retreats, and engagement activities
-
Performs other duties as assigned
Qualifications/Experience
-
Two-year diploma in Office or Business Administration or a related field; or an equivalent combination of education, training, and experience
-
Three (3) years of administrative support experience in a service-oriented, deadline-driven environment, preferably in the public sector and/or a medium to large-scale organization.

Strong customer service orientation, maintaining a high level of professionalism and responsiveness when engaging with students, staff, faculty, and various external partners (ex. governments and other organizations).
-
Demonstrated ability to work independently and professionally in handling inquiries, complaints, and competing deadlines with diplomacy and tact.
-
Advanced writing, editing, and presentation skills for the preparation of high-quality correspondence, presentations, and stakeholder communications.

Strong organizational and time-management skills.

Advanced technical skills, including proficiency in:
- Microsoft Office suite (Outlook, Word, Excel, PowerPoint)
- Tele- and video-conferencing platforms (ex. Teams, Zoom)
- Adobe Acrobat and DocuSign
- Document sharing platforms (ex. SharePoint, OneDrive)

Exceptional interpersonal, communication, and relationship-building skills with internal and external stakeholders.

Strong understanding and sensitivity working in a highly diverse student community
