Position Summary

Reporting to the Property Manager, the Assistant Property Manager provides hands-on operational support across multiple residential communities within the Zen Residential portfolio. This field-based role focuses on property operations, suite showings, inspections, resident interactions, notice delivery, vacant suite readiness, and maintaining exceptional property standards.

The Assistant Property Manager works across several communities, supporting day-to-day operations wherever needed to ensure a consistent resident experience, strong property performance, and well-maintained communities. This position is ideal for an individual who enjoys being out in the field, thrives in a fast-paced environment, and takes pride in delivering exceptional service.

Key Responsibilities

Property Operations and Portfolio Support

Provide operational support across multiple residential communities within the assigned portfolio. Assist Property Managers with the day-to-day operations of their communities. Deliver notices and resident communications in accordance with company policies and applicable legislation. Conduct regular property walkthroughs to identify maintenance, cleanliness, safety, or operational concerns. Support vacant suite preparation to ensure suites are clean, market ready, and available for occupancy. Complete occupancy inspections, move-in inspections, move-out inspections, and other unit inspections as required. Assist with suite turnovers and coordinate with maintenance and cleaning teams to maintain company standards. Provide coverage and operational support at various properties as business needs require. Support seasonal projects, property initiatives, and operational priorities.

Resident Relations and Customer Service

Provide professional, responsive, and service-focused support to residents and prospective residents. Respond to resident inquiries, concerns, and service requests in a timely manner. Support resident retention initiatives and contribute to a positive resident experience. Escalate complex resident concerns to the Property Manager as appropriate. Foster positive relationships with residents while maintaining professionalism and consistency.

Leasing And Showing Support

Conduct suite showings for prospective residents. Support leasing efforts and occupancy goals across the portfolio. Follow up with prospective residents as required. Assist with move-in coordination and resident onboarding. Ensure model suites, vacant suites, and amenity spaces are presentable and ready for showings.

Property Standards and Maintenance Coordination

Monitor common areas, grounds, and amenities to ensure high standards of cleanliness and curb appeal. Identify and report maintenance deficiencies, safety concerns, and operational issues. Coordinate with maintenance teams regarding work orders, repairs, and suite readiness. Assist with contractor access and vendor coordination as required. Support property safety initiatives and ensure company standards are maintained.

Administrative And Reporting Responsibilities

Complete inspection reports, documentation, and operational records accurately and in a timely manner. Maintain organized resident and property records within Yardi and other company systems. Assist with reporting, data entry, and administrative tasks as required. Support the Property Manager with operational follow-up and task completion. Participate in team meetings, training sessions, and professional development opportunities.

Qualifications

Previous experience in property management, leasing, customer service, hospitality, or a related field. Strong customer service and relationship-building skills. Excellent communication and interpersonal abilities. Strong organizational skills with the ability to manage multiple priorities. Detail-oriented with strong problem-solving abilities. Ability to work independently while managing responsibilities across multiple properties. Comfortable working in a highly mobile, field-based role. Ability to walk properties, climb stairs, conduct inspections, and perform regular site visits throughout the workday. Comfortable travelling between multiple communities and adapting to changing operational priorities. Proficiency with Microsoft Office applications. Experience using Yardi or other property management software is considered an asset. Knowledge of residential tenancy legislation is considered an asset. Post-secondary education in Business Administration, Real Estate, Property Management, or a related field is considered an asset. Valid driver's licence and reliable transportation are required. Ability to work occasional evenings and weekends as required.
