We are seeking a professional, enthusiastic, and friendly Administrative Assistant / Receptionist to join our team in the Burlington office. The successful candidate will play a key role in creating a welcoming environment for visitors, maintaining common office areas, and providing a wide range of administrative support to ensure the smooth operation of the office.
This is a part-time or casual position.
Primary Responsibilities:
Reception & Client Service
- Greet and welcome visitors and clients professionally
- Receive and distribute courier and mail deliveries
- Maintain a clean and presentable reception area, and overall office space (e.g. boardrooms)
- Coordinate and schedule conference rooms, including ordering lunches and preparing beverages when required (both onsite and offsite meetings)
- Manage security fobs
- Assist with daily staff workstation assignments
- Assist with new staff introduction and setup
- Answer and screen telephone calls or forward them as appropriate
General Office Administration

Ensure kitchen and coffee areas are stocked and kept tidy

Order and manage office supplies through external vendors

Prepare and format documents such as letters, memos, and engineering specifications

Perform general clerical duties including petty cash handling and processing invoices to the finance department

Coordinate with Building Management for general maintenance and repair needs in the office
Qualifications

Previous experience in an administrative or receptionist role (preferably in a professional office environment)

Friendly and positive demeanour with strong interpersonal skills
-
Proactive, adaptable, and able to take initiative

Excellent organizational and time management skills

Strong verbal and written communication abilities

Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook), Adobe Acrobat, Teams, and SharePoint

Ability to manage multiple priorities while maintaining high attention to detail

Demonstrated ability to work independently and as part of a collaborative team
