About the role
We are seeking a Medical Clinic Receptionist (Health Centre Reception Assistant) who will provide excellent, welcoming, efficient and professional receptionist, client referral support, and assisting with health-specific administrative needs in the Evergreen Health Centre. The incumbent will work an 8 week contract of 35 hours per week with expectation to be flexible as needed. The successful candidate will further develop skills in building relationships with hard-to-reach populations, crisis intervention and conflict management, empowering community members towards their goals, and administrative support in a health care context.

between 15 and 30 years of age (inclusive) at the start of employment;

a Canadian citizen, permanent resident, or person on whom refugee protection has been conferred under the Immigration and Refugee Protection Act and;

have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations.
Responsibilities:
-
Greet and welcome clients, students, volunteers and guests
-
Ensure reception and waiting areas are clean, organized, and presentable
-
Promote and ensure a safe space for clients, volunteers, staff, students and guests
-
Reception duties including answering, screening, and forwarding phone calls, faxing, and managing email correspondence and courier/mail deliveries
-
Register new clients and update contact information for returning ones
-
Process intake forms, consent forms, service agreements and creating new client accounts on the appropriate database
-
Providing general administrative support, including filing, copying, and data entry
-
Schedule appointments and provide appointment reminders and confirmations
-
Answer client inquiries and record stats as per clinic procedures
-
Connect client to internal and external resources as needed
-
Communicate changes to schedules promptly with clients, volunteers and staff
-
Assist volunteers with basic tech support and contacting IT for assistance as needed
-
Prepare clinical rooms, equipment, electronic devices for health care providers prior to opening
-
Adhere to and comply with infection control protocols
-
Disinfect all surface areas throughout the day and as required
-
Coordinate laboratory specimen pick-ups as needed
-
Ensure and maintain strict adherence to privacy and confidentiality policies in accordance to the Personal Health Information Protection Act
-
Organizing and maintaining patient files, both physical and digital, ensuring accurate and up-to-date information is readily available to healthcare providers
-
Ensure accurate data entry and record keeping in various databases including Google sheets, Paradigm, CHR and OSCAR electronic medical records
-
Manage all electronic medical record correspondence (ie. Inbox, referrals, etc.)
-
Respond to emergency situations in accordance with clinic and/or YSM policies and procedures
-
Report all safety and/or security incidences both physical and electronic to management in a timely manner
Qualifications:
-
Educational training or experience working in a health care facility
-
Medical office administration experience preferred
-
Experience or strong interest in working with vulnerable populations
-
Excellent telephone etiquette and customer service skills
-
Proficient in English (mandatory)
-
Excellent oral and written communication skills (mandatory)
-
Ability to speak other languages an asset
-
Strong interpersonal and conflict resolution skills
-
Ability to work independently and as part of a team
-
Ability to stay composed and work well under pressure
-
Ability to manage and prioritize competing demands
-
Compassionate, reliable, adaptable, self-motivated, and innovative
-
Willingness to learn and be coached
-
Excellent working knowledge and experience with MS Office software, Google functionality, EMRs and other databases

Experience working in a multicultural, multi-faith setting, and those with multiple challenges
-
Awareness and understanding of patient privacy and confidentially with working knowledge of Personal Health Information Protection Act

Training in crisis prevention intervention and knowledge of trauma-informed care an asset
-
Valid CPR First Aid
-
A vulnerable sector police check is required
