The opportunity:
The University of Manitoba is looking for an Office Assistant. This is a project position intended to provide administrative and operational support to the Coordinator Undergraduate Programs. The incumbent will work collaboratively across several academic and administrative functions, in a support role, to ensure effective execution of key tasks in support of the Coordinator Undergraduate Programs (CUP), Academic Programs Assistant (APA), and Graduate Admissions Coordinator/PhD Program Assistant (GAC/PhD PA). The incumbent will help organize and complete various tasks within the unit and is expected to work in collaboration with the CUP, APA, and GAC/PhD PA. This role requires a clear understanding of the area's procedures and systems, including admissions policies and the Aurora system.
The qualifications and experience we’re looking for:
- Completion of a formal training program in a related discipline from a recognized institution is required.
- Bachelor's Degree preferred.
- Three years of directly related experience is required.
- Basic knowledge of Aurora Student is required.
- Knowledge of Admission and the Course Scheduling processes is required.
- An acceptable equivalent combination of education and experience may be considered.
- Computer experience using 365 Microsoft Office (Word, Access, Excel, PowerPoint, Outlook email & calendar), and Internet are required.
- Proficiency in providing meeting support which includes taking and distributing minutes is required.
- Excellent public relation and interpersonal skills, tact & diplomacy are required.
- Excellent problem-solving and research skills are required.
- Excellent communication skills, both verbal and written, are required.
- Excellent organizational skills are required.
- Must possess a high degree of integrity, professionalism and sensitivity to cultural differences, compassion and empathy.
- Must be able to communicate effectively with staff, students and the public and to maintain confidentiality.
- Must be task-oriented and able to work toward goals under time constraints with frequent interruptions.
- Ability to work under pressure with high level of accuracy is required.
- Ability to collaborate and work effectively as a part of a team with all levels of faculty and staff and carry out duties in a professional manner is required.
- Ability to take initiative to create an organized and efficient office is required.
- Ability to provide effective assistance to staff, students and the education community is required.
- Satisfactory work record, including satisfactory attendance and punctuality, is required.
- Knowledge of and respect for the multiple goals of an Academic institution preferred.
- Knowledge of the Education programs offered by the University and of the various community stakeholders served by the programs preferred.
