The Centre for Addiction and Mental Health (CAMH) is seeking a full-time, temporary (6 months) Department Secretary to work in the Access to Care Program, providing administrative support to the Gender Identity Clinic (GIC) and backup support to other clinics as needed.

The GIC provides assessment, consultation, and support for adults exploring gender identity or seeking transition-related care. The clinic is grounded in principles of person-centered, affirming, and trauma-informed care.

Reporting to the Clinical Manager and working as part of an interprofessional team, the Department Secretary will be responsible for managing the complex scheduling of clinical appointments using electronic systems and the Ontario Telemedicine Network (OTN). The role involves responding to client inquiries regarding appointment logistics and administrative matters, often requiring sensitivity and discretion when clients are anxious or distressed. The successful candidate will also prepare agendas, take minutes at meetings, and draft a variety of internal and external correspondence. Additional responsibilities include maintaining and organizing clinic records and documentation in line with privacy standards, managing supplies, and performing general administrative duties such as filing, photocopying, and faxing. The Department Secretary plays a key role in supporting the daily operations of a high-volume outpatient clinic that serves trans and gender-diverse clients, requiring a high level of professionalism, emotional maturity, and a commitment to equity and inclusion.

Job Requirements The successful candidate will have a one-year Community College diploma in Office Administration or a related field, along with a minimum of one (1) year of secretarial or administrative experience. Preference will be given to those with experience in a healthcare, mental health, or community-based setting. A diploma in Medical Office Administration is considered a strong asset.

Strong interpersonal, verbal, and written communication skills are essential, as is a demonstrated ability to work effectively with clients from diverse cultural, racial, and socio-economic backgrounds, including members of the 2SLGBTQ+ community. The candidate must be proficient in Microsoft Office applications (Word, Excel, PowerPoint), as well as web-based databases and electronic health record systems. Familiarity with medical terminology, accounts payable/receivable, and general office procedures is required. Candidates should have excellent organizational skills, a keen eye for detail, and the ability to manage multiple priorities in a fast-paced clinical environment. Experience preparing agendas and meeting minutes, managing complex scheduling systems, and handling sensitive information with discretion is expected.

The ideal candidate will demonstrate sound judgment, the ability to interpret and apply policies and procedures, and a strong commitment to client-centered care. Experience supporting equity-deserving populations, particularly trans and gender-diverse individuals, will be considered a significant asset. Bilingualism (French/English) or fluency in another language is also considered an asset.
