Position Overview

**This role is for an existing full-time, permanent vacancy in our customer care office (**655 Bay Street).

The Service Coordinator supports the day-to-day operations of the service department, working closely with the Service Manager to ensure seamless delivery of warranty work, minor construction requests, and ongoing service for existing clients. This role is essential in coordinating trades, managing schedules, and maintaining accurate documentation while delivering a high standard of client support.

Key Responsibilities

  • Receive, track, and organize incoming service requests from clients.

  • Communicate with clients to confirm service details, scheduling, and follow-ups.

  • Assist in preparing work shifts, quotes, and service reports in coordination with the Service Manager.

  • Schedule subcontractors, trades, and vendors for service work and follow up to ensure completion.

  • Maintain detailed and organized records of service requests, site visits, materials, and correspondence.

  • Update internal project tracking systems and communicate status updates to relevant team members.

  • Coordinate with accounting for invoicing and billing related to service work.

  • Ensure all documentation (photos, notes, shifts, etc.) is complete and filed accurately for each service call.

  • Support the Service Manager in fielding urgent service issues and client escalations as needed.

  • Proactively identify ways to improve service response time and administrative efficiency.

Qualifications

  • Experience in a coordination or administrative support role, preferably in construction, property management, or facilities services.

  • Strong organizational skills with a high attention to detail.

  • Excellent written and verbal communication skills, with a professional and customer-focused approach.

  • Ability to manage multiple priorities in a fast-paced environment.

  • Proficient in Microsoft Office Suite and comfortable learning construction/project management software.

  • Team-oriented, reliable, and able to work independently with minimal supervision.

Preferred

  • Familiarity with service-related work in commercial or interior construction.

  • Experience using project management tools such as CMiC or similar platforms.

  • Understanding of basic construction terminology and workflow.
