Role Overview

The Residence Coordinator is primarily responsible for placing students in Residences, providing, and ensuring they have a positive experience during their stay. The Residence Coordinator must demonstrate the sensitivity to other cultures and ethnicities as the come from a variety of cultures.

Key responsibilities and capabilities

  • Prepare, key in, proofread and provide Residence Confirmations to students, including Residence Profiles, Residency Guidelines, Pick-up Confirmation, etc.
  • Set up, maintain, and update computerized Residences availability based on phone calls and e-mails received.
  • Tracks any changes in students’ program duration, communicates information about any changes to the providers promptly
  • Informs Homestay Manager about any escalated complaints or issues works cooperatively towards the best problem resolution
  • Answer and transfer incoming calls and e-mails to relevant personnel in the Department
  • Greet and serve walk-in Residency students, receive drop off confirmations and related documentation, enter into computerized systems as necessary and forward relevant information to Residency Coordinators and Director.
  • Process the invoices from providers
  • Compile and prepare various data and statistics for Residency Department; Analyze survey results and come up with recommendations to support student experience initiatives and improve Residency Services.
  • On a weekly basis reports to the Homestay Director on new placements, transfers, requests changes, cancellations, and payments.
  • Follow up with students to verify their satisfaction with the residence and services provided.
  • Responds telephone, e-mail, and in-person inquiries from partners, providers, students, and internal staff.
  • Carries Homestay Emergency phone line as requested

Requirements

  • University or college degree/diploma in business or related field, or an appropriate combination of education and experience;
  • 1-2 years of successful relevant experience, preferably in Education industry, Customer Service, Hotel, Travel, and Tourism, Residence and Accommodation;
  • Excellent customer care and service excellence attitude;
  • Experience working with international students is an asset
  • Strong computer proficiency, Microsoft Office, Excel, Word;
  • Complete fluency in and English, other language is an asset
