About the Role
Reporting to the Director, the Inclusivity and Indigenous Initiatives Support Lead provides administrative support and is responsible for the coordination of activities in the Inclusivity and Indigenous Services portfolio. They will liaise with Executive Assistants, supporting alignment and communication across programs and services. In addition, they will maintain a broad view of all projects as CASA Mental Health expands its services provincially, providing mental health services to more kids and families across Alberta.
The Inclusivity and Indigenous Support Lead will:

Provide administrative support to Indigenous Services and IDEA leadership as needed including the scheduling and coordination of virtual and in-person meetings, procuring meeting rooms, audio-visual equipment, planning meals and refreshments as required, preparation of agendas and recording and distributing minutes.

Prepare, distribute, and track completion of key program documents, ensuring timely and accurate information flow.

Screen and manage internal and external communications, including confidential correspondence, emails, phone calls, and requests, with discretion, appropriate triaging and follow-up.

Provide a bridge for smooth communication between executive, senior and clinical leadership and internal departments.

Coordinates travel-related meetings, such as arranging complex and detailed travel plans, itineraries and agendas.

Assist with scheduling and tracking of Inclusivity and Indigenous Services project plans, timelines and key milestones to ensure timely completion of deliverables.

Contribute to stakeholder engagement by facilitating communication, aligning expectations, and ensuring updates are shared throughout the project lifecycle.

Collaborate and provide support to other Corporate Care Specialists.

Complete administrative tasks related to program operations and improvements, managing the department shared drive, and formatting and proofing documents and presentations.

Support event planning and coordination of professional development trainings, organization-wide activities and community initiatives.

Provide administrative support to the Indigenous Services’ Wisdom Committee, making accommodations, procuring meeting rooms, planning meals and refreshments, and recording and distributing minutes.

Participate in cultural and learning opportunities with the Indigenous Services team to increase cultural competence.
Qualifications

Bachelor’s degree or diploma in business administration, medical office assistant, office management or a relevant field, or related equivalency.

Eight to ten years’ experience in supporting senior level leadership or C-Suite executives.

A minimum of two years related administrative experience in a medical office setting.

Medical Transcriptionist Certification is considered an asset.

Valid Class 5 driver’s license and access to vehicle for travel between CASA sites as required.
Conditions of Employment

A satisfactory Criminal Records Check with Vulnerable Sector Search and Child Intervention Check. This would be the financial responsibility of the successful candidate.
