In accordance with Article 9.05, where the previous incumbent returns to this position within the thirty (30) day trial period this position shall be deemed not vacant and the posting will be cancelled. Should the vacancy be cancelled, applicants to this posting shall be notified.

However, this does not guarantee the permanence of the shift time or work assignment for the position. The Hospital reserves its Management Rights under the CUPE Collective Agreement to make changes to shift time and work assignment as it deems necessary.

DESCRIPTION:

The Payroll Specialist contributes to the preparation, processing and reporting of the hospital’s payroll function accurately and within strict timelines to avoid potential negative financial impact to the employees and the organization as a whole. Contributes to the development of practices and procedures in Payroll.

Within this role the employee is accountable for contributing to the delivery of the Kingston Health Sciences Centre strategy. As an employee, one must demonstrate an awareness of and be responsible for actively promoting and supporting patient and family centered engagement and care in all we do.

DUTIES AND RESPONSIBILITIES:

  • Liaise with both internal and external contacts on a daily basis using various modes of communication in order to resolve issues and provide information.

  • Processing of electronic and timesheet data, ensuring it is complete, accurate and meets deadline requirements.

  • Regular review, audit and reconciliation of payroll and accounting information, ensuring compliance with Kingston Health Sciences Centre policies, collective agreements, procedures and practices. Follow up of issues as required.

  • Provide support for business process improvement and effective functioning of payroll processes. Using their in-depth knowledge of the SAP and UKG/KRONOS systems and procedures, undertake a role as facilitator/resource/subject matter expert specific to auditing time data, ensuring collective agreement adherence and accuracy for the employee.

BASIC QUALIFICATIONS:

  • Three year diploma in Business Administration – Accounting or Finance

  • Four (4) years’ work experience in an automated payroll environment within the last 5 years.

  • Payroll and accounting proficiency and knowledge will be tested (minimum mark 75% required).

  • Demonstrated proficiency with Windows applications including Word (Level 1), and Excel (Level 2) will be tested.

  • Typing speed of 40 wpm (will be tested)

  • Demonstrated understanding of legal regulations with regards to a hospital setting, e.g. Ministry of Health and Long-Term Care; CRA, application of multiple collective agreements in a unionized environment, etc.

  • Demonstrated understanding of an integrated accounting software environment.

  • Ability to communicate effectively and diplomatically with a variety of individuals.

  • Proven ability to organize, analyze, reconcile and adjust account with minimum supervision, and to provide adequate audit trails.

  • Demonstrated clear oral and written communication skills, including exceptional customer service skills, are required.

  • Proven ability to attend work regularly.

  • Satisfactory criminal reference check and vulnerable sector search required.
