Job Summary:

This role is an integral member of the Programs team, working closely with the Talent and Content Coordinator, Programs; Executive Lead, Programs (ELP); Director, Programs Administration (D); and other members of the department to support the day-to-day delivery of non-production/post related programming and program events.

KEY RESPONSIBILITIES INCLUDE:

Assist the Programs Coordinator with the application and selection process and the resident onboarding process.

Coordinate the daily and weekly program schedules and support the implementation of programming.

Support the Program Department’s logistical and administrative needs in delivering programs.

Assist with CFC Showcases and Programs-related events, both internal and external.

Assist the Programs Coordinator with the application and selection processes and the resident onboarding process:

  • Update application forms online and website information for Marketing & Communications

  • Process applications using FormAssembly & Google Drive and update their status

  • Monitor program inquiries and ensure that they are addressed in a timely manner

  • Assist the Programs Coordinator with communication with applicants and selection committee members throughout the selection processes

  • Organize interview schedules using Calendly and follow up to ensure bookings are complete

  • Update Salesforce regarding selection tracking (e.g. Rejected, Interviewed, Resident, Alumni).

  • Work with Programs Coordinator and ELP to ensure all Programs onboarding documents are updated and shared with new residents

  • Manage the Resident agreements and intake forms, sharing info and materials with Marketing & Communications as needed

  • Generate stats reports as directed by ELP & D

  • Ensure the proper archiving of relevant application/selection information

  • Update selection process mapping based on current considerations

Coordinate the daily and weekly program schedules and support the implementation of programming:

  • Frontline communication with Residents, Mentors/Guests about program logistics for non-production/post activities

  • Set up and update day-to-day and weekly shared calendars for Residents and program staff as per the Programs Coordinator

  • Track individual Resident and Mentor/Guest conflicts/unavailability in the calendar

  • Follow up to ensure Residents are at sessions

  • Work closely with the Programs Coordinator to ensure all prep material for workshops/sessions are collected and communicated to residents and Google drives/calendars are updated

  • Greet Mentors and Guests and provide support as needed whether in person or virtually

  • Update key program activities & CFC space needs in the Organizational Calendar and participate in bi-weekly events and spaces meetings

Support the Program Department’s logistical and administrative needs in delivering programs:

  • Participate in program meetings and determine logistical requirements/support needed

  • Facilitate virtual and in-person setups and logistics for non-production activities

  • Facilitate all room bookings and A/V set-ups within the CFC facilities as needed

  • Process contract requisitions, submission of invoices and the tracking Dik

  • Processes and submits expense reports for Residents as needed

  • Handle all program-related travel booking and catering/craft needs and catering setups

  • Maintain Mentor and Guest lists and update their information in Salesforce as needed

  • Ensure ongoing archiving of program schedules, session descriptions, bios, and selection materials

  • Provide general support to the Programs team as needed

Assist with CFC Showcases and Programs-related events, both internal and external:

  • Support CFC evite process by ensuring guests/mentor info is updated in SF and generating updated guest lists

  • Gathering and administering resident guest lists process for showcases

  • Gathering and securing approvals from ELP & Coordinator on program promotional materials for Marketing & Communications

QUALIFICATIONS AND SKILLS:

  • Ability to work as an effective member of a team

  • Ability to multi-task with accuracy and manage time within a fast-paced environment

  • Strong interpersonal and professional communication skills, both written and verbal

  • Ability to organize, follow up, plan, prioritize and problem-solve

  • Computer savvy and proficient with Microsoft Word and Excel, Outlook, hosting Zoom meetings, Salesforce, FormAssembly, PayPal
