THE ROLE:
We are seeking a Joint Venture Coordinator to support the Joint Venture Relations team, located in Calgary, AB. Reporting to the Director, Commercial & Business Development, this role requires strong organizational and customer service skills to support the Joint Venture team in delivering high-quality materials in a timely manner.
The role is responsible for managing JV records, coordinating partner interactions, supporting governance processes, and facilitating internal and external communications. This position plays an ongoing role in maintaining effective joint venture operations and partner relationships within a large, international JV structure.
HOW YOU WILL CONTRIBUTE:
- Manage Joint Venture files and contact lists to ensure the provision of information in a timely manner
- Work with internal teams to draft and/or send letters for partner signature and follow-up with partners as required
- Review of presentation materials to check formatting, spelling, grammar and overall clarity
- Administer mail ballots (including distribution, tracking and results letters)
- Coordinate travel, visas, attendees and schedules for senior level meetings
- Set up of meetings, ensuring all required equipment/resources are available
- Coordinate the provision of recurring reports for partners
- Develop basic understanding of the Joint Venture Agreement and assist team in ensuring the company adheres to the terms of the Agreement
- Assist team in preparation of workshop materials where applicable, liaise with other departments to gather information and collaborate to create clear, compelling materials
- Coordinate responses to partner questions or requests
- Record and distribute minutes at quarterly partner Subcommittee meetings
- Ad hoc work as required
WHAT YOU BRING:
- Bachelor’s Degree in a related field
- 2 - 5 years’ experience in a Coordinator/Administrator role within a large organization in the Oil & Gas industry.
- Experience in a Joint Venture department is considered an asset
- Proficient in Microsoft Word, PowerPoint and Outlook
- Good organizational skills with high attention to detail
- Excellent customer relationship skills
- Experience organizing meetings, travel and logistics
- Comfortable communicating within all levels of the organization and across different cultures
- Self-starter with ability to prioritize and complete tasks with minimal direction
