Purpose of the Job

The role is responsible for delivering a seamless and supportive employee experience across the full HR lifecycle, from onboarding to offboarding. As the primary HR contact for employees in Canada and the US, this position provides day-to-day guidance, answers HR policy questions, and ensures employees feel supported throughout their journey. A key focus is on administering employee benefits and retirement plans, managing relationships with insurance carriers, and providing responsive support to employees on claims, enrolments, and leaves. In addition, the role coordinates employee communications, promotes benefits programs, and provides consistent, accessible updates on HR policies and practices.

Responsibilities

Employee Experience

  • To provide guidance to employees on HR subjects
  • Manage the full onboarding and offboarding processes, ensuring a consistent and positive employee experience.
  • Act as the primary HR contact for employees, providing guidance on HR policies and practices with discretion and professionalism.
  • Prepare, translate, and distribute HR, Benefits, and Payroll communications for employees in Canada and the US.
  • Conduct stay and exit interviews and discuss improvements with HRBP based on employee feedback.
  • Conducts follow-up meetings (touchpoints) with new employees when needed, prepare summary feedback and bring any relevant information or issue to the attention of the manager and HR team to improve the onboarding experience of the employee.
  • Support health & safety initiatives, audits, and certifications, and coordinate with external partners as needed.
  • Responsible to administer the Employee referral program. Communicates to payroll to ensure timely processing of the employee’s incentives. Ensures the delivery of the Gift cards to eligible employees and maintain track sheet and stats

HR Policies and Communications

  • Responsible to prepare, translate and send all HR communications to employees in Canada and US.
  • Review and update HR policies, processes, and organizational charts, ensuring alignment with company vision and values.
  • Guide managers and employees through HR policies when needed, interprets, and provide guidance on all HR topics.

Benefits & Payroll administration:

  • Manage all aspects of benefits administration for US and Canadian employees, including enrollments, changes, and terminations. Act as the primary contact for employees, carriers, and vendors on benefits-related matters.
  • Monitor benefit usage, cost trends, and participation.
  • Provide guidance to employees on group insurance, retirement plans (RRSP/401k), and leave of absence procedures. Offer claims support and ensure timely communication of benefits information.
  • Conduct pre-leave meetings with employees (e.g., for sick leave, maternity) to review time off, vacation balances, and insurance premium responsibilities.
  • Administer RRSP and 401k plans, including employee enrollments and terminations.
  • Support the VP, HR and the HRBP in annual benefits renewals and program evaluations, collaborating with carriers as needed.
  • Partner with the HR Coordinator on benefits invoicing, reconciliation, audits, and ensuring data accuracy.
  • Understand payroll processes and provide support to the Payroll Administrator as needed, including during year-end reconciliations, adjustments, and reporting. Coordinate select year-end tasks in collaboration with the HR Coordinator.
  • Contribute to continuous improvement of benefits processes and overall employee experience in collaboration with the HR team.

HRIS, HR processes and reporting:

  • Ensure the accuracy and integrity of HRIS data, including updates related to benefits, vacation balances, and employee records.
  • Collaborate with the HR Coordinator to audit data, manage recurring HR reports, and maintain up-to-date employee documentation.
  • Lead HRIS process improvements, automation efforts, and the development of templates and reports to enhance efficiency and insights.
  • Prepare recurring HR reports (monthly, quarterly, annual), including labor movement, turnover, organizational charts, and vacation balances.
  • Continuously review and improve HR processes and reporting tools with a focus on automation, simplification, and efficiency.
  • Coordinate HR-related activities such as the service recognition program and employee training sessions (e.g., French courses).
  • Support the preparation of the annual Bill 90 report and manage employee training registrations.
  • Act as the primary contact for Health and Safety matters, coordinating initiatives, audits, and follow-ups with DR Conseil.
  • Manage the certification of first aiders and coordinate special supply needs (e.g., COVID-related items).
  • Coordinate administrative processes including invoice payments, subsidy and grant requests, and annual reconciliations/filings for payroll and benefits-related payables (e.g., CNESST, DR Conseil, ON EHT, group benefits, WSIB, WorkSafeBC, U.S. Workers' Compensation).
  • Provide support to HR team members on various projects and perform other HR duties as needed.

What You Bring

  • Bachelor’s degree in human resources or Employee relations
  • Minimum of four (4) years’ experience in a similar position.
  • A customer-service mindset with a focus on enhancing the employee experience through benefits programs
  • Excellent written and verbal communication skills, with the ability to communicate complex benefits information in an accessible and clear manner.
  • High attention to detail to ensure the accuracy of HRIS data, benefits communications, and compliance-related documentation.
  • Excellent organizational, interpersonal, and time management skills.
  • Shows initiative, creativity, able to analyze situations and solve problems.
  • Continuous improvement mindset.
  • Capable of working as part of a team, in a spirit of cooperation.
  • High level of discretion and professionalism; able to handle highly sensitive and confidential information.
  • Technical savvy and strong computer skills (MS Word, Excel, PowerPoint).
  • Proficiency in using HRIS software to manage and analyze employee data
  • Bilingual (French / English).
