As a Medical Review Officer Assistant, you will be responsible for the accurate review, entry, tracking, and reporting of drug and alcohol (D&A) and Occupational Health test results. This role ensures compliance with regulatory requirements, supports Medical Review Officer (MRO) and reviewing physician processes, maintains turnaround time standards, and serves as a key liaison between laboratories, collection sites, clients, and internal teams. The position requires strong attention to detail, regulatory knowledge, and effective communication skills.

- Responsible for reviewing and entering negative laboratory test results and ensures that they are consistent with the information contained on the custody and control form. Responsible for reviewing and entering nonnegative results returned from the lab and the MRO, and acts as a resource to the Medical Review Officer by assisting him/her with MRO duties such as arranging for split specimen and D&L Isomer tests, contacting the DER to arrange an interview between the MRO and a donor.
- Responsible for reviewing and entering occupational health testing data and results and ensures that they are consistent with the data recorded on requisitions, medical testing forms, and the reviewing physician’s documentation.
- Ensures appropriate turnaround time on all test results by tracking receipt of required documentation, status of laboratory samples, timely delivery of results, and escalating delays and concerns following appropriate pathways
- Sort, categorize and electronically attach completed Occupational Health services to events, preparing completed files for physician review. Troubleshooting
- Troubleshoots various issues that arise throughout the day with service providers and clients and provides resolution or escalates issues and concerns following appropriate reporting pathways.
- Handles customer and donor/examinee/participant inquiries via phone/e-mail and provides support by answering questions regarding testing processes, timelines and results.
- Responsible for reviewing testing documentation to determine if there are any fatal or correctable errors that may require corrective action
- Collaborates with the laboratory to secure required corrective documentation from service providers.
- Notifies service providers when error correction training is required.
- Documents concerns with service providers following the appropriate escalation pathways.
- Is responsible for effectively navigating DOT regulations, Canadian Model Best Practices, Urine Collection and Breath/Saliva Alcohol Collection procedures, and department resources to ensure accuracy in all functions. Reporting results
- Adheres to both client reporting preferences and departmental reporting guidelines for D&A results.
- Reviews and reports results, testing reports, and/or fitness certificates for completed occupational health files to company contacts according to company specific reporting preferences.
- Reports required corrective actions to occupational health examinees as requested by the reviewing physician
- Ensures department voicemail and department email is verified and dealt with in an appropriate and timely manner.
- Preparation of documents for the MRO and physicians. Administrative Support (as assigned)
- Administer client specific programs including file maintenance, appointment scheduling and reporting requirements.
- Support occupational health teams as required. Other Duties as assigned by team leadership. What YOU bring to the role: High school diploma, computer/data entry knowledge Bilingualism is an asset Must be flexible to meet operational requirements as the hours and weekend work varies to accommodate clients across all time zones. Must be able to work effectively and professionally under minimal supervision and exercise good judgment. Excellent organizational, planning and prioritizing skills are required to meet the department’s expected output and complete all work in an accurate and timely manner Must be highly motivated and self-directed, adaptable to new and changing situations, as well as priorities and able to cope with high paced, stressful work environment Proficient with MS Office Strong computer literacy with the ability to quickly learn new software Excellent oral and written communication skill including a good command of English language as well as good spelling ability. Strong interpersonal skills demonstrating tact and diplomacy are required when dealing with both internal staff and external clients.
