Location:Bluewater District School Board (BWDSB), Education Centre, Business Services
Reports to: Superintendent of Business Services and Treasurer
Temporary: 35 hours per week, 12-month position
Dates: Commencing November 25, 2025, and ending November 20, 2026, or earlier if incumbent returns or circumstances change.
Salary: $77,457-$90,638/year
Position Description:
The Business Services Coordinator provides effective and professional administrative support and assistance as part of the business services team. Responsible for the coordination and organization of service delivery for business services, which is comprised of plant services, transportation and purchasing, information communications technology, financial services, and business development services.
Duties and Responsibilities**:**
This position acts as a key support for business services in the following areas:
- Develop and publish department agendas, minutes, and report writing.
- Coordinate, schedule, and attend monthly evening public meetings including but not limited to Business Committee of the Whole Board meeting, enrolment, and audit committee.
- Coordinate of meetings related to student accommodations.
- Facilitate and coordinate Community Planning and Partnership meetings and align third party presentations with internal procedure and guidelines.
- Liaise with stakeholders in the development and onboarding of program partnerships including new contractual services of third-party partners.
- Act as a liaison with the Ministry of Education to support the Superintendent of Business.
- Review and consider the risk and liability of proposed agreements on board owned properties or third-party facilities.
- Maintain a direct line of communication with OSBIE including insurance board, legal claims reporting and review.
- Provide training and support to administrators at various leadership forums about how to adhere to process around student incident reporting, school council insurance, and field trip protocol.
- Lead contact for the management and governance of copyright and performance licenses.
- Manage communication and provide guidance and proper resources related to ensuring compliance with policy and procedures (legislation is defined within the policy and procedures).
- Collaborate with the business analyst to analyze all non-pupils of the board (non-resident), Indigenous and international students, to ensure classified correctly and billed accordingly.
- Manage trustee expense portfolio, ensuring timely reporting internally and externally.
- Review and develop website content within the business services page, capital priorities updates and school accommodation reviews.
- Execute Charitable Tax Receipts and Donations ensuring proper classification and compliance with ethical standards and Canadian Revenue Agency.
- Assist and support the acquisition and disposition of property.
- Assist the Superintendent with all areas of Business Services.
- Communicate with trustees about meetings.
- Other duties as assigned.
Qualifications and Experience**:**
- University or College degree or diploma in Office Administration
- Law Clerk Diploma
- Diploma in related discipline or equivalent
- 2-5 years in business administration role or equivalent
Assets:
- Excellent organizational skills, positive attitude, thorough knowledge of good office practices and records management procedures and ability to exercise leadership skills and good judgment.
- Exemplary interpersonal, oral, written communication, and technological communication skills.
- Working knowledge of the relevant legislation, policy, and procedure, such as Education Act, Broader Public Sector Accountability Act, Canadian Revenue Agency Charitable Regulations, Ontario Accessibility Act, RSO 1990 Insurance Act, and respective Regulations.
- Ability to extract, analyze and work with data.
- Ability to think ahead and take initiative on projects.
- Effective problem-solving skills.
- Ability to prioritize, multi-task and co-ordinate jobs / tasks to meet deadlines and handle frequent concurrent tasks in a demanding environment.
- Understand the importance of confidentiality and diplomacy.
- Proficient with Microsoft Office 365.
- Strong leadership skills.
- Strong organization skills.
- Finance background is an asset.
