KPMG is seeking a dynamic Executive Assistant to provide senior-level support to C-Suite executive leaders. This pivotal role is responsible for delivering comprehensive administrative and operational assistance, ensuring the timely and effective execution of projects while enhancing overall team efficiency. This role will be based out of our Toronto office and will be part of a collaborative in-person team.
What You Will Do Calendar & Communication Management
- Monitor and manage executive leader’s email inbox, flagging, prioritizing, and taking action based on urgency and subject matter.
- Draft responses for client or internal KPMG communications.
- Manage and optimize the executive leader’s calendar, coordinating requests, resolving conflicts, and ensuring deadlines are met.
- Assist with marketing initiatives such as email distribution and event communications and logistics
- Create, review, and distribute communications for the executive leader, handling routine correspondence and reporting on actions taken
Meeting & Travel Coordination
- Prepare, edit, and proofread correspondence, reports, and presentations using MS Office.
- Coordinate and organize meetings, leadership sessions, and external events (including logistics, space, catering, agendas, and briefing documents).
- Compile, transcribe, and distribute meeting minutes, and follow up on action items.
- Maintain contact databases and ensure compliance with applicable regulations.
- Arrange domestic and international travel, including itineraries and visa requirements.
- Prepare and reconcile expenses and time reports accurately and on schedule.
- Manage regular and ad hoc reporting requirements.
Client & Relationship Management
- Serve as a key point of contact for communications, ensuring timely responses and escalation of complex inquiries.
- Coordinate relationship management activities for senior leaders and their teams.
- Professionally interact with clients and external stakeholders as directed.
Operational & Administrative Support
- Complete, reconcile, and submit time and expense reports for the executive leader.
- Ensure timely processing and approval of invoices to avoid late payments.
- Act as liaison for billing and vendor invoice coding.
- Provide backup support to other administrative team members as needed.
- Support ad-hoc projects for the executive leader and their leadership team as needed.
- Provide administrative support to the executive leader’s leadership team as required.
What You Bring To The Role
- Post-secondary education or equivalent combination of education and experience in administrative support
- Minimum 8 years of experience providing administrative support to senior leadership or executives
- Ability to understand business priorities and proactively identify and implement solutions
- Demonstrated capability to analyze information, recognize patterns or issues, and make sound decisions
- Excellent organizational skills with the ability to prioritize, manage multiple tasks, and meet deadlines
- Demonstrated flexibility and adaptability in a fast-paced environment, with strong attention to detail
- Proven track record of working independently, delivering high-quality results, and meeting established goals.
- Ability to handle sensitive and confidential information with discretion and integrity
- Strong written and verbal communication skills, with the ability to craft clear and professional messages
- Effective at building strong relationships with senior leaders and collaborating with cross-functional teams and colleagues
- Advanced proficiency in MS Office Suite (Outlook, Excel, PowerPoint)
- Familiarity with social media tools is an asset
- Previous experience in project coordination, marketing support, or related activities is an asset
