Job Description :

POSITION
Champlain College Saint-Lambert is seeking the services of an ADMINISTRATIVE SUPPORT AGENT, PRINCIPAL CLASS to work on a full-time replacement position (35 hours per week) in the Continuing Education department.

FUNCTIONS
Reporting to the Operations Manager for Continuing Education, the incumbent will ensure the coordination of various administrative tasks within the department. For given tasks, the incumbent may be required to either complete the tasks directly or distribute the work to other support staff, while providing feedback on the work performed. The incumbent will collaborate on the preparation of timelines for particular tasks and ensure their completion.

MAIN RESPONSIBILITIES

  1. Ensure program schedules and other pertinent information for students/RAC candidates are available to students through identified electronic platforms.

  2. Ensure course evaluations and other department surveys are conducted using the identified platforms and as per expected timeframes.

  3. Ensure that the administrative tools used for recognition of acquired competencies (RAC) services are available for identified programs and kept up to date.

  4. Ensure permanent codes are obtained for all students/RAC candidates who require them.

  5. Provide administrative support for training programs and/or programs with RAC services, as needed.

  6. Participate in the review, creation and updating of office procedures and training materials for support staff in the office and ensure they remain current.

  7. In coordination with the department Administration Technicians, provide administrative support and training to office staff with respect to admission and registration of students and RAC candidates and other department specific procedures.

  8. Ensure the appropriate storage and archiving of student/RAC candidate files.

  9. Participate in departmental events such as graduation.

  10. As needed, perform all other related tasks.

Requirements :

Education

Must have a diploma of vocational studies (DEP) with appropriate speciality or a secondary school diploma (DES) or have a diploma or an attestation of studies which is recognized as equivalent by the competent authority.

Experience
Minimum six (6) years pertinent work experience.

Competencies
Must be able to communicate proficiently in both English and French, orally and written.
Must be proficient with Microsoft Word and Excel.
Required Excel skills include proficiency with formulas.

The candidate must also possess the following:
Strong organizational skills
Strong customer service skills
Attention to detail
Ability to work in a fast-paced environment and able to meet deadlines
Team player

Required Tests : Candidates will be required to submit to language tests as well as Word and Excel tests.

Work Schedule : Monday to Friday 8:30 am to 4:30 pm (35 hours per week)

Duration of contract : Until August 3, 2026

Salary Scale : $25.86 - $31.65
