The opportunity:
This position is responsible for the time entry for approximately 415 permanent and part-time employees and 35 casual employees. Specifically entering all bi-weekly employee exceptions, absences, additional time or schedule changes and all hours for hourly staff as provided by department supervisors. Reviews time sheets to ensure accuracy of time entry codes to avoid errors and situations of incorrect pay. Responsible for downloading data from VIP Human Resources Information System to create Pre-generated Timesheets for the Caretaking and Trades position groups.
This position will respond to calls and emails from staff with pay questions or inquiries. Provides reporting from the VIP system to Supervisors, Managers, Directors or Assistant Directions on a scheduled and exception basis as requested. Treats all matters with sensitivity, discretion and confidentiality.
Three years of directly related administrative experience is required. Payroll/HR Administration experience in a large unionized payroll environment is preferred. A thorough understanding of the UNIFOR, AESES collective agreements and EMAPS regulations, particularly regarding payroll administration and staff matters, is preferred.
The qualifications and experience we’re looking for:
- Completion of a formal training program in a related discipline from a recognized institute plus three years of directly related experience.
- An undergraduate degree is preferred.
- Three years of directly related administrative experience is required.
- Payroll /HR Administration experience in a large, unionized, payroll environment is preferred.
- Thorough understanding of the UNIFOR, AESES collective agreements, and EMAPS regulations, particularly regarding payroll administration and staff matters, is preferred.
- Knowledge of relevant University of Manitoba policies and procedures is preferred.
- Knowledge of Province of Manitoba employment standards is preferred.
- Experience in developing, implementing, and evaluating administrative procedures is preferred.
- An acceptable equivalent combination of education and experience may be considered.
- Intermediate skill level in use of Microsoft Excel and Word is required.
- Accuracy and good written and verbal communication skills are required, particularly skills in dealing effectively with users having varying levels of technical understanding.
- Demonstrated initiative, common sense, creativity, diplomacy, and the ability to work independently using established policies and procedures are required.
- Must have the ability to analyze data and prepare reports is required.
- Must be able to maintain confidentiality and manage information of a sensitive nature is required.
- Must be bendable required.
- Satisfactory work record, including satisfactory attendance and punctuality, is required.
- Must have excellent organizational, problem-solving skills and attention to detail.
- Project management experience is an asset,
- Experience utilizing VIP or other large Payroll /HR system is preferred.
