Who We Are Seeking
To continue to extend our lead in the industry, Fatigue Science is looking for a Vancouver based, proactive and multi-skilled HR & Administrative Coordinator. In this role, you will be the heartbeat of our People & Culture function, owning everything from the first touchpoint of recruitment, onboarding, event planning and performance management. You are someone who thrives in a high-ownership environment, balancing technical HR compliance with a genuine passion for employee engagement and company culture. Reporting directly to the VP, Finance, you will act as a key strategic partner in aligning our human capital with our financial and operational goals.
What You’ll Do
- Full Cycle Recruitment: Lead the end-to-end recruitment process, from sourcing and screening to coordinating interviews with the hiring team and offer management.
- Onboarding & Offboarding: Drive the full cycle of the employee lifecycle, ensuring a seamless and welcoming onboarding experience for new hires and a professional, compliant offboarding process.
- Performance Management: Lead the semi-annual performance review cycles and compensation reviews, collaborating with the leadership team to ensure goals are established and met across the company.
- HRIS & Data Integrity: Take full ownership of our HRIS (BambooHR), ensuring data integrity, managing technology resources, and leveraging tools to improve People & Culture workflows.
- Event Coordination & Culture: Lead the planning and implementation of all company social events and employee recognition programs, including milestones and anniversaries.
- Payroll & Year-End Reporting: Assist with the semi-monthly payroll cycle and all related year-end reporting requirements using Rise Payroll.
- Benefits Administration: Manage the ongoing administration of our employee benefits programs, serving as the primary point of contact for all enrollments, changes, and inquiries.
- Policy & Compliance: Maintain and improve administrative systems, policies, and procedures, including the Employee Handbook and general business operations, in compliance with legislative requirements.
- Employee Relations: Provide expert support for all HR-related matters, including talent development and dispute resolution.
- Strategic Support: Act as a key partner to the Finance team and CEO on various ad-hoc projects and strategic initiatives as the company scales.
- Administrative Support: General support to the Administrative Operations Coordinator on Company office operations.
What You Bring to the Table
- 3+ years of progressive and hands-on Human Resources experience;
- A degree or diploma in Human Resources, Business, or a related field (CPHR is an asset);
- A demonstrated ability to manage the full recruitment funnel for diverse roles;
- Tech-savviness with specific experience in BambooHR and Rise Payroll (or similar systems);
- Thorough knowledge Employment Standards and HR best practices;
- Excellent communication skills
- Self-motivated and flexible with experience in a fast-paced environment, including managing multiple projects;
- Experience running full-cycle Canadian payroll and year-end reporting is an asset;
- Well-organized, reliable, and resourceful with a high attention to detail;
- Action-oriented with the capacity to exercise good independent professional judgment;
- Ability to remain calm and polite under pressure while resolving sensitive conflicts;
- Open-minded: willing to view problems and solutions from all angles to drive company culture.
