Position Summary:
We are looking for a highly organized, proactive, and experienced Senior Administrative Assistant to support our senior leadership team and manage the day-to-day operations of our office.
This role combines high-level administrative support with operational oversight. You will play a critical role in driving efficiency, ensuring smooth office operations, and supporting key leaders through scheduling, communications, and project coordination. You oversee the office budgets.

Duties & Responsibilities
Executive Administrative Support:
- Directly support the leadership team with calendar management, travel, meeting coordination, and communications;
- Prepare, edit, and format reports, presentations, letters, and spreadsheets;
- Assist in compiling and distributing scheduled reports and meeting materials;
- Record, distribute, and archive meeting minutes;
- Maintain accurate records, confidential files, and sensitive documentation;
- Support leadership with project coordination and execution.
Office Administration & Operations:
- Oversee day-to-day administrative office operations, including facilities, supplies, equipment, and services;
- Coordinate with other administrative staff;
- Manage office phone lines, incoming inquiries, mail, and couriers;
- Coordinate activities for internal and external meetings, guest visits, and events;
- Maintain vendor relationships (cleaning services, landlords, office suppliers, etc.);
- Reconcile monthly Visa statements and monitor office budgets;
- Order and manage office supplies and ensure timely replenishment;
- Contribute to continuous improvement and process optimization across administrative functions.
Health & Safety:
- Follow and support MECI’s Corporate Health and Safety Program and procedures;
- Participate in Health and Safety initiatives as required.
Qualifications
Education:
- Post-secondary education in office administration or related field is an asset.
Experience:
- Minimum 5 years of relevant experience in administrative support and/or office management, ideally in a professional services setting;
- Previous experience overseeing office operations or administrative staff is an asset;
- Previous hospitality experience is a strong asset.
Knowledge, Skills & Abilities:
- Exceptional verbal and written communication skills;
- Demonstrated exceptional computer literacy including effective working skills of the Microsoft Office Suite (Word, Excel, Visio, PDF);
- Highly organized, detail-oriented, and able to manage competing priorities;
- Self-starter with a process-improvement mindset;
- Approachable, dependable, and professional in demeanor;
- Comfortable interacting with internal teams, leadership, and external vendors/partners.
