Our Nuclear Services, located in Tiverton, ON, is looking for a Document Control Clerk to join our team.
Summary of the Role Reporting to the Document Control Supervisor, the Document Control Clerk is responsible for coordinating and maintaining project document services such as record maintenance and tracking, and other administrative responsibilities related to the flow, documentation and control of corporate records, plans, and information in a fabrication shop setting.
Key Responsibilities
- Ensure drawings and specifications are accurately entered in the system immediately upon receipt of drawing lists, copied for the appropriate personnel, and distributed to the job sites as required.
- Ensure the pages and drawings of the specifications and addendums are appropriately stamped (i.e. date, type of bid etc.) when received in the Document Control Department.
- Ensure drawings are identified by job name, bid or construction drawings, job numbers, and placed on drawing rack.
- Ensure that when drawings/specifications are sent, a transmittal listing the contents accompanies it, and documents are acknowledged by receipt and sign off of the Central Document Control Department.
- Ensure job numbers are on all correspondence, transmittals, and filed accurately.
- Maintain and update Catalogue Index.
- Work with Quality, Procurement, and Trades for tracking and following up on Purchase Orders and sub-contracts.
- Receive all job files, drawings, specifications, addendums and/or all correspondence and information related to a specific job.
- Enter all job file documents including drawing into computer immediately upon receipt.
- Examine all incoming drawing transmittals for discrepancies and notify the sender immediately for corrective action.
- Responsible for providing photocopy requirements for various drawings and specifications, as required for each project, and distributed using a transmittal listing drawings/specs, etc.
- Work in conjunction with the Quality Assurance Manager and Quality Assurance Lead to ensure policies and procedures are being adhered to. Assist in the development and revision of policies and procedures.
- Perform such other and reasonable duties or responsibilities as may be required.
- Ensure responsibilities and accountabilities are conducted in a safe manner in accordance with E.S. Fox Limited Environmental Health and Safety Management Program and OHSA requirements.
Key Requirements, Experience And Skills
- College diploma in Business Administration is preferred.
- Proficient in using MS Word and Excel is required.
- Experience using Adobe Acrobat to modify/markup fabrication drawings.
- Previous administrative experience is preferred.
- Previous document management experience is preferred.
- A minimum of 3 years’ administrative experience working within a construction, manufacturing, or industrial environment is preferred.
- Strong communication skills (both verbal and written) are required.
- Solid judgement and decision-making skills.
- Expertise in fast and accurate typing efficiency is required.
