Job Summary

Reporting to the Manager, Team Calgary the Specialist supports the building of a broad, sustainable base of financial support for the organization through its Team Calgary partnership program.

The primary role is to support the implementations of the fund development strategy, sponsorship and event management, detailed partner engagement history, and partner relationship and retention activities of Calgary Economic Development.

Key Responsibilities

Corporate Partnership Program

  • Provide support in the overall development/coordination of a comprehensive annual partnership plan that details specific activities and timing of activities of engagement (identification, cultivation, ask, stewardship, fulfillment and recognition) for each invested partner.
  • Coordinate high-value and long-term partnerships that align with organizational priorities; develop benefits and support engagement events .
  • Record, measure and report on partnership activity, results, and KPI’s.
  • Assist in the collection of information that can be used to assess partnership programs.
  • Develop and implement sponsorship activities – including on-site event marketing, corporate hosting, and employee volunteer recruitment.
  • Manage and oversee all partner and promotional materials (website, pitch decks, and partner branding) Support the implementation of the fund development strategy by assisting with planning, coordination, and activities that advance the organization's objectives.

Data and Reporting

  • Act as a key user for the division for the CRM software and Microsoft Office
  • Ensure that the partner information is up to date; regularly update for contact changes or new contact information
  • Compile reports using data extracted from the CRM and Microsoft Office tools, including the development of mailing lists, invitation lists, and prospecting lists
  • Use the CRM to provide support as required for special projects
  • Optimize and create new data workflows to increase efficiency and productivity.
  • Lead the tracking of partnership materials outside of CRM, with partner contact lists, partner recognition materials, partner annual reports

Event Coordination

  • Oversee invitation and registration lists for events and prepares information packages for senior leadership regarding stakeholders attending
  • Review and confirm all sponsorship activities for company signature events and other relevant activations
  • Manage end‑to‑end event logistics - equipment, tech, marketing materials, venue/catering, and signage - with occasional support from the Events and Activations team.
  • Lead the event management process for Team Calgary specific partner appreciation events. This includes creating invitations, managing guests, creating all communication, dealing with venue and vendors and leading the management of the event on-site

Administration

  • Prepare invoicing and expenses related to all Team Calgary partnerships and events

  • Administer existing and new partnership and sponsorship agreements - including the coordination and delivery of contractual assets and benefits.

  • Triage stakeholder correspondence, providing information where possible or referring stakeholder to the correct party

  • Create partner communication pieces including e-newsletters and fulfillment reports.

  • Manage ticket reservations for all Team Calgary events including tracking attendees for the reporting process. This includes managing all tickets for partners and sponsors for signature events.

  • Prepare all Team Calgary regular reports on finances and other key reporting measures, including monthly reports for the CEO.

Education

Undergraduate degree in Marketing, Communications, Commerce or other related fields.

Experience

Minimum of 3-5 years of experience in a similar role.

Key Competencies

  • Well organized and able to independently research / gather information and document
  • Ability to actively listen and checks for understanding; able to deliver messages in a compelling manner
  • Strong writing and editing skills – write clear and concise messages for various internal and external audiences
  • Builds effective relationships with clients; provides information and understands expectations
  • Understanding of the local business environment, government, industry, culture, and regulatory environment
  • Can re-prioritize work to deliver on priority items
  • Experience with CMS and CRM platforms, as well as digital marketing tools such as Google Analytics is an asset
  • Effective time management and project management
  • Proficient with Microsoft Office applications, especially Excel and PPT
  • Event planning & logistics
  • Detail oriented
  • Understanding of the not-for-profit sector, community organization and community investment models

Note: An equivalent combination of education and experience may be considered.
