Under the direction of the Director of Legal and Legislative Services these positions provide comprehension and confidential administrative legal support to lawyers in the civil law division of the Office of the Attorney and Department of Justice and Public Safety while ensuring the smooth day to day operation of the Legal Services Division. This position is the first point of contact for the Legal Services Division and ensure that matters requiring attention are directed to the appropriate individual within the office.

Duties will include but are not limited to:

  • Prepare numerous types of legal documentation including: legal opinions and memorandum prepared by the lawyers, contracts, waivers, releases, offers to settle, correspondence, etc. from hand written copy or from dictation;
  • Coordinate the daily schedule of the lawyers within the office including booking court dates, scheduling meetings and booking meeting spaces;
  • Coordinating subgroup meetings within the office including preparing, assembling and distributing agenda materials, attending the meetings to take minutes and circulating the same after each meeting;
  • Assist the Departmental Lawyers in conducting legal research by utilizing Westlaw Canada software, and the Canadian Legal Information Institute (Can LII) website, as well as various publications in the library;
  • Provide assistance to Departmental Lawyers in preparation of various court documents;
  • Compose, edit and format routine memos and letters to client departments, opposing counsel and court officials;
  • Be knowledgeable with and adhere to PEI Rules of Civil Procedures, ensuring all documents are prepared, proofread, copied and filed/served in accordance with legal requirements and deadlines;
  • Assist with preparing Criminal Injuries Compensation files;
  • Responsible to organize and maintain files in accordance with Records Management practices;
  • Other duties as required.

Minimum Qualifications:

  • Legal Administration Course and considerable work experience in a related field;
  • Proficiency in the use of Office 365, Oracle, and Adobe;
  • Knowledge of NetDocuments or other such legal file and document management system;
  • Knowledge of legal terminology and procedures;
  • Knowledge of Westlaw software;
  • Knowledge of the Rules of Civil Procedure;
  • Knowledge of PEI Statues and Regulations;
  • Commissioner for taking Affidavits; and
  • Satisfactory Criminal Records Check.
