This is a remote position. Senior Business Systems Analyst (M365 / SharePoint Information Management) Role: Senior Business Systems Analyst (Level 3) Location: Remote (Occasional onsite meetings in Fredericton or Dieppe, New Brunswick) Duration: July 2026 – October 2026 (Up to 55 Billable Days) Employment Type: Contract Position Overview Service New Brunswick (SNB) is seeking a highly experienced Senior Business Systems Analyst (BSA) to support the Office of the Ombud in designing and implementing a secure Microsoft 365-based Information Management solution. The successful consultant will lead requirements gathering, information architecture design, governance planning, SharePoint Online implementation planning, migration readiness activities, and stakeholder engagement. This role requires extensive expertise in Microsoft 365 technologies, SharePoint Online, Information & Records Management, business analysis, and public-sector environments. The Office of the Ombud manages highly confidential information and requires a secure, role-based information management framework aligned with provincial legislation, policies, and industry best practices. Project Objectives Modernize collaboration and information management using: Microsoft 365 SharePoint Online Microsoft Teams OneDrive Microsoft Copilot for Microsoft 365 Design a secure, role-based information architecture. Establish governance, records management, and information management practices. Plan and support migration of legacy file systems into SharePoint Online. Implement metadata standards, access controls, workflows, and support procedures. Key Responsibilities

Discovery & Planning

Conduct stakeholder interviews across multiple locations and remote teams. Perform workload analysis and data mapping exercises. Assess current-state environments including: Identity Management Devices and Endpoints Network Infrastructure Existing File Systems Governance Processes Develop project plans, timelines, resource plans, and migration readiness assessments.

Business & Requirements Analysis

Gather, analyze, validate, and document business and technical requirements. Identify and document: Business Processes Information Flows Decision Flows Reporting Requirements Security Requirements Facilitate workshops and requirements sessions. Translate business needs into functional and technical specifications.

Information Management & Governance

Design information management frameworks and records management structures. Define: Metadata Models Content Types Records Classifications Governance Standards Support requirements related to: Investigations Records Retention Privacy and Compliance Search and Discovery Assist with policy development and information management best practices.

SharePoint & Microsoft 365 Solution Design

Design SharePoint Online site and hub architecture. Develop: Site Structures Document Libraries Metadata Frameworks Content Types Site Columns Create workflows and process documentation. Produce architecture diagrams and supporting documentation. Support Microsoft 365 adoption initiatives.

Security & Access Management

Define role-based security and access models. Support implementation of: Microsoft Entra ID (Azure AD) Conditional Access Policies Multi-Factor Authentication (MFA) Least-Privilege Access Controls Segregation of Duties Models Document security and governance frameworks.

Migration Planning & Execution Support

Conduct content inventories and file assessments. Perform ROT Analysis (Redundant, Obsolete, Trivial content). Develop migration readiness plans and scorecards. Map legacy content structures to SharePoint Online. Support migration tool selection and migration runbook development. Assist with pilot migrations, testing, validation, reconciliation, and cutover activities.

Documentation & Stakeholder Engagement

Produce high-quality business and technical documentation. Create: Functional Specifications Technical Specifications Process Flow Diagrams Data Models Solution Architecture Documentation Migration Documentation Governance Documentation Communicate effectively with technical and non-technical stakeholders. Participate in project meetings, workshops, status reporting, and project governance activities. Mandatory Requirements

M1 – IT Experience

Minimum 15 years of Information Technology experience.

M2 – Business Systems Analysis Experience

Minimum 10 years of experience as a Business Systems Analyst.

M3 – Microsoft 365 & SharePoint Experience

Minimum 3 years of hands-on experience with: SharePoint Online Microsoft 365 Microsoft Teams OneDrive

M4 – Public Sector Information Management Experience

Minimum 3 years supporting Information Management or Records Management solution implementations within a Public Sector environment.

M5 – Communication Skills

Excellent written and verbal English communication skills. Preferred Qualifications Experience working within government or public-sector organizations. Strong knowledge of information governance and records management practices. Experience implementing SharePoint Online Information Management solutions. Knowledge of privacy, security, and compliance frameworks. Experience supporting Microsoft 365 modernization initiatives. Familiarity with Microsoft Copilot for Microsoft 365. Experience with SharePoint Migration Tool (SPMT) and related migration frameworks.
