The Opportunity
We are looking for a driven, detail-obsessed Assistant Studio Manager to join our Calgary team to support our Edmonton Studio Manager and lead the Calgary front-of-house experience. This role blends our Client & Operations Coordinator responsibilities with growing leadership duties — you'll be the warm, welcoming face of the studio while also stepping into a supporting leadership role: holding staff accountable to standards, ensuring new policy, guidelines and sales activities are practiced by all team members, and reporting accuracy. This is a fantastic opportunity for someone who wants real growth potential. As the studio expands, so will your responsibilities — with the chance to develop into a full Studio Manager role over time.
Key Responsibilities
Client Experience & Sales Advocacy Serve as the first point of contact for clients — greeting warmly, responding to inquiries in real time (GHL/Instagram/Mindbody/Email/Calls), and handling feedback with professionalism and grace Actively convert inquiries into confirmed appointments by clearly communicating the value of our services and following up on consultations Support and implement monthly promotions, and confidently introduce products, packages, and add-on services in person, by phone, and by email Help clients celebrate their results, encourage reviews and referrals, and support long-term client retention
Team Leadership & Accountability
Support the Studio Manager in day-to-day leadership of the Calgary team, helping keep staff aligned, on task, and accountable to studio standards Help train and mentor new team members, and reinforce SOPs and best practices during daily operations Step in to lead the studio and team in the Studio Manager's absence Support a positive, professional, and collaborative team culture
Studio Operations & Systems Integrity
Coordinate daily studio flow by managing appointments in Mindbody, resolving scheduling overlaps, and ensuring aestheticians have the scheduling support they need Execute daily, weekly, and monthly reporting with meticulous attention to detail — reconciling sales data, auditing pay sheets, and tracking inventory with 100% accuracy Monitor sales numbers closely and flag discrepancies or opportunities for improvement Oversee "behind-the-scenes" tech: assigning treatment rooms, monitoring automated client communications, and ensuring digital consent forms are complete and filed Assist with workshops, appreciation days, and studio events — handling RSVPs, welcome gifts, and post-event follow-up
Content & Studio Aesthetics
Maintain the studio's high aesthetic standards — signage, displays, and promotional materials always on-brand and beautifully presented Collect and organize before-and-after content, reviews, and Canva portfolios Partner with the marketing team to keep messaging consistent across all client touchpoints

Qualifications
Previous experience in a coordinator, supervisory, or leadership role within a personal service, hospitality, or retail setting is an asset Naturally sweet, warm, client-friendly personality — someone clients feel instantly comfortable with Highly organized, accountable, and detail-oriented — you notice when a spreadsheet or a shelf display is off Comfortable with sales conversations and confident picking up the phone to follow up with clients Tech-fluent (or eager to quickly master) with workflow automation such as Claude Cowork, GoHighLevel (GHL), Google Workspace, Excel, and Canva Genuine interest and comfort using AI tools; excitement about automating and streamlining workflows is a big plus A genuine passion for the beauty, skincare, and wellness industry
Schedule
Flexibility to work weekends is required, as this is when our studio is busiest Potential for a fixed weekday schedule with days off on Monday/Wednesday (to be discussed further in interview)
Compensation & Benefits
$20/hour Holiday pay in accordance with Alberta Employment Standards Life insurance after 3 months probation Extended health & dental benefits after 3 months probation 2 weeks paid vacation after 12 months of employment Clinic treatment discounts for family and friends
